Want to be part of a fun, growing team? We are searching for an IT Administrative Specialist for our MNS (Managed Network Services) team in Oklahoma City. As our IT Administrative Specialist, you’ll be a whiz at MNS billing and master the art of process documentation, capturing workflow processes and creating concise SOPs for the team. In your spare time, you’ll wear a couple of additional hats as back-up dispatcher and back-up procurement specialist. Our #1 goal is to develop and maintain strong client relationships, to build trust and loyalty using outstanding communication skills, and we need you to make that happen!

Requirements

  • College Degree preferred; high school degree required
  • Two years customer service experience using ERP software; Four years customer service experience preferred
  • Accounting background or billing experience preferred
  • Training or experience in technical writing or experience in an administrative role preferred
  • Experience in inventory workflow process a plus

The Job

Provide administrative assistance for MNS department, initiating invoices & billing and documenting process & procedures. This position will also function as back-up for MNS Dispatch and Procurement Specialist.

Billing

  • Assist in preparation of client invoices based upon agreed upon terms and conditions
  • Review and reconcile client agreements to ensure accurate monthly billing
  • Investigate and resolve billing discrepancies
  • Resolve client billing inquiries; communicate with clients regarding billing questions or concerns
  • Develop and maintain billing records and reports

IT Documentation Writer (Standard Operation Procedures SOPs)

  • Collaborate with department managers and team members to identify and prioritize internal processes which require documentation
  • Develop and maintain accurate, clear, and concise SOPs for all team processes
  • Review and revise existing documentation to ensure accuracy and relevance
  • Identify and assist with implementation of new processes and procedures; update employees on new or updated SOPS as needed

Supplemental Dispatcher

  • Front-line customer service representative for RK Black’s MNS and Surveillance Teams
  • Answer incoming client calls and emails creating service requests using ConnectWise software
  • Must be able to effectively/efficiently manage service ticket boards to meet all SLAs (Service Level Agreements). This will include making sure technicians and engineers know if they are about to miss an SLA and rescheduling tickets accordingly.
  • Schedule delivery of equipment with clients, creating firm appointments with the team and updating procurement of installation dates to pull equipment

Standby Sales Support and Procurement Specialist

  • Assist IT sales/engineering team in creating and updating IT sales proposals
  • Ensure timely ordering of equipment, using established procedures and guidelines
  • Receive all orders into ConnectWise
  • Use ConnectWise to create sales orders and purchase orders, and place orders for equipment using correct promotions and guidelines to secure cost savings
  • Communicate and follow sales order process to IT Sales & CCTV management through ConnectWise status updates

Physical Requirements

  • Able to stand, bend over, squat or sit for prolonged periods of time
  • Able to use hands to handle and feel for objects and controls
  • Able to carry computer equipment and other accessories up and down stairs


Wage: Commensurate with experience
