This position will include assisting the Account Manager with administrative tasks and provide quality assurance visits to all campuses throughout each week.

Essential Administrative Functions:

Working along side of the Account Manager to complete the following tasks:

  • Reviewing daily reports, such as TeamTime, under hours, open holes, and overtime reports
  • Reviewing dispatchers log and review/update any schedule changes and updates to absence trackers for any/all issues noted for sites in your account managers portfolio(s).
  • Inform your account manager of any officers needing corrective action and promptly take proactive action to handle all issues regarding attendance and/or performance for all employee’s assigned to the portfolio. With the direction of HR, provide disciplinary action based on the company’s policy of Verbal Coaching, Verbal Warning, Written Warning and Termination. Setting up HR meetings in a timely manner for any disciplinary actions needed.
  • Complete the weekly schedules for all sites in your account managers portfolio(s).
  • Provides updated needs list based on openings in schedules, overtime in schedules, upcoming resignations, terminations, etc. to the recruiter twice weekly (Monday and Thursday) for recruiting purposes
  • Reviewing the Scheduling Activity Report (SAR) every Friday and Wednesday to make sure that the hours for each post are correct, no supervisor post is more than 40 hours total, the pay rate, hours type, invoice description, and additional tier description are all correct.
  • Communicates, in person or by phone, with officers to ensure they are content with their site, duties, account manager, and Top Guard.
  • Completes all termination and PSC (personnel status change form) and provides the paperwork to HR and Payroll in a timely manner (within 48 hours of status change) and document all notes in the employee’s diary in WINTEAM.
  • Other duties as assigned.


Essential Functions for Quality Assurance:

  • Drive a company vehicle to all our client sites to assist operations with field visits.
  • Do a quality assurance inspection of each manned site on a regular basis for compliance with all policies and procedures.
  • To Document all Site Visits in E-Hub and/or Complete Report.
  • To provide emergency relief to officers as needed.
  • To assure that we are providing a quality service to our customers meeting all our commitments and duties.
  • To Train/Guide and Mentor the Security officers with their job duties and responsibilities.
  • To do mobile site checks of unmanned client sites, when requested.
  • To be an immediate response service when requested by any of the dispatchers or operations management team.
