Job SummaryThis position is responsible for all incoming event leads and distribution of leads to sales staff, as approved by the Executive Director of Special Events, and follows up with sales staff to ensure all details are handled.
Responsibilities to include, but not limited to:
Answers all calls for main office line and Executive Director
Inputs requests for drive-on passes in the gate pass system
Handles all payroll input with approval of Executive Director
Ensures that labor is assigned to appropriate project numbers
Runs daily labor report for Event Managers
Provides calendar support for the Executive Director, site inspections with clients and sends out invites to clients
Accurately maintains the main event calendar
Responsible for all incoming event leads and distribution of leads to managers and sales staff, as approved by the Executive Director
Follows up on callbacks and lead sheets and gets basic information from clients
Liaises to sales staff, accounting department, and other departments as necessary
Implements requests for setup and rental orders as needed
Crafts and keeps current the department mailing list
Handles CRM input and maintenance/lead tracking and reporting
Handles Vendor Portal and Invoice Works, follows up on vendor payments
Handles MAXIMO and STAR as necessary
Researches, orders and repairs for equipment from off lot as needed
Mails out contracts and makes sure deposits are received and submitted to accounting
Keeps deposit schedule and tracks payments
Updates and emails out current on lot calendar every Monday
Assists with Facebook, Twitter and all social media
Assists and works with the Exec Director on new business developments such as public events and concerts
Handles all additional responsibilities as assigned including after-hour and weekend events
Basic qualifications:
Minimum 4 years experience in an administrative role preferred
Desired skills:
Bachelor’s degree preferred
Previous experience handling basic accounting, purchase orders
Basic event coordination training
Special Events background in coordinating and vendor relations
Strong computer proficiency – Word, Outlook, Excel, Power Point, Accounting programs and Customer Management programs,
Detail oriented, multi tasking necessary
Good oral communication skills in order to interact with company personnel and outside parties

ADDITIONAL INFORMATION
Hiring Salary Range: $50,000.00 - 56,000.00.
The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
