Summary/objective

The Division of Academic Affairs at Southern University at New Orleans, a public, historically black university, is committed to empowering and promoting the upward mobility of diverse populations of traditional and nontraditional students through quality academic programs, teaching, research, and service to achieve excellence in higher education using various teaching and learning modalities. Within, Academic Affairs, the Office of the Registrar works to provide accurate information as well as protect the integrity of the academic records and data of every student, both past and present, of SUNO.

The Assistant Registrar is a functional expert with thorough knowledge of business practice, academic policy, compliance matters and operational procedure in the Office of the University Registrar with specialization in student services and customer service for the departments functions, especially those integrated with Enrollment Management. The Assistant Registrar is a proactive member of the managerial team, providing both oversight and support of day-to-day functions with the ability to resolve most complex escalated issues. The Assistant Registrar is responsible for monitoring, implementing, and ensuring academic policies are followed and maintained, assuring the accuracy of student data/information stored in the current system of records (Banner) as well as supporting required reporting requirements. The Assistant Registrar is expected to leverage his/her functional SIS expertise to identify, recommend, and implement streamlined processes and improved services.

  • Assumes responsibilities and the operations of the Office of Records in conjunction with the Registrar.
  • Provides superior quality service to students, faculty, and staff by managing requests in a timely and accurate manner. Responds to requests for information with helpful, affirming, and team-oriented response.
  • Serve as the liaison to various university colleges/departments, faculty, staff, and students.
  • Participates in the planning and implementation of the class schedule and registration.
  • Participates in the planning of special programs and activities such as registration day activities and commencements.
  • Attends meetings and serves on committees in the absence of, or as appointed by the Registrar.
  • Monitors and assists with the maintenance of student records, graduation checkout, and processing transcripts
  • Assists with reports from the database from the National Student Clearinghouse and Integrated Post-Secondary Education Data System (PEDS).
  • Assists with student-athlete data tracking and reports for athletic eligibility including maintenance of the National Association of Intercollegiate Athletics (NAIA) database.
  • Assists with institutional research reporting needs.
  • All other duties as assigned.

Competencies

· Understanding of and ability to train others to ensure compliance with FERPA regulations is a must.

· Patience and experience with handling multiple and complex tasks are essential for this role.

· Excellent written and verbal communication skills.

· Ability to interact with all levels of personnel. Exceptional attention to detail and accuracy.

· Ability to adhere to and enforce all applicable rules and regulations of the University, the Southern University System, as well as all federal, state, and local laws.

· Demonstrated data management skills and related reporting capabilities.

· Proficiency with computers, Microsoft Office, and student information systems.

· Strong organizational skills with the ability to simultaneously manage multiple projects in a fast-paced environment.

· Ability to consistently meet deadlines.

· Ability to demonstrate tact and diplomacy when in dealing with difficult issues and/or diverse organizations.

· Ability to develop positive and cooperative relationships with students, faculty, staff, parents, professional colleagues, and the public from diverse communities and cultures.

· Strong managerial and leadership skills with an ability to foster a cooperative work environment.
