Dean Dorton, one of the largest and most acclaimed certified public accounting and business advisory firms in the Southeast, has an opportunity for an experienced Administrative Assistant to join our team. This position takes on a high level of responsibility in our firm and is critical to meeting the needs of our clients. This opportunity is available in our Lexington, KY office.

What You’ll Be Doing

  • Perform administrative and clerical support to team members and partners including binder preparation and document proofing.
  • Serve as the primary administrative liaison to our clients for your assigned partners and leaders.
  • Facilitate the smooth operation of client management including the onboarding process for new clients in Dean Dorton’s systems and providing regular updates to client information as necessary.
  • Ensure delivery of client documents is performed adequately and efficiently, both electronically through our secured electronic portals and via standard mail/shipping.
  • Compose and proof general correspondence including letters, memos, reports, presentations, and emails.
  • Organize and schedule meetings, including location, invitations, catering, and room and equipment preparation.
  • Coordinate travel logistics and associated expense report preparation for partners and service group leaders.
  • Provide general administrative activities including organizing and maintaining electronic filing systems, processing paperwork, copying/filing, and prioritizing calls/mail.
  • Monitor specific court filings and associated weekly reporting.
  • Handle highly confidential information and various administrative project support as needed.
  • Provide backup to various roles within the Administrative Support and Operations team, including document processing (primarily tax return and financial statement processing) during peak workload periods, front desk backup, general routine office duties, and other administrative functions as needed.

Preferred Qualifications:

  • Dedication to a career with a proven background serving as an Administrative Assistant
  • Background and experience in a similar Professional Services firm, including fraud, legal, or accounting firm is a plus.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint), and Adobe
  • Ability to perform administrative duties with speed and accuracy without immediate and constant supervision, by setting priorities, meeting deadlines, and managing multiple projects.
  • Experience handling confidential and sensitive information.
  • Experience with CCH Axcess Practice, Workstream, Pacer, and Power BI is a plus.
