  • Full-time, employed, 40 hours/week with benefits

Responsibilities:

As a Staff Accountant at MDstaffers, you will play a pivotal role in managing external bill/pay functions for our contracted clinicians and clients, streamlining internal payroll processes, and overseeing various accounts receivable and payable tasks. This position necessitates a comprehensive understanding of standard payroll, accounts payable, and accounts receivable/billing processes. Your strong attention to detail, exceptional communication and collaboration skills, and ability to work independently will be crucial for success in this role. Within the Finance Department at MDstaffers, you'll contribute to the processing of thousands of payments monthly, ensuring the highest level of accuracy and efficiency.

Billing / Clinician Payments:

  • Manage weekly clinician timesheet and expense collection, reconciliation, and processing.
  • Partner with Recruiting, Client Services, and other stakeholders to ensure timely timesheet processing and invoicing.
  • Obtain client and internal approvals for timesheets and submitted expenses.
  • Process clinician payments based on contract terms
  • Reconcile client billing and clinician payments regularly
  • Validate new assignment data in CRM and ERP systems.
  • Process clinician W-9 and direct deposit updates
  • Serve as the primary contact for clinician payment inquiries.

Corporate (Internal) Payroll:

  • Manage employee timecards, verify accuracy, and track time off and leaves of absence
  • Reconcile and process regular and off-cycle payrolls, commissions, bonuses, and reimbursements
  • Propose payroll runs for executive approval and make updates and changes as required
  • Record and manage payroll-related transactions and benefit program changes in ERP system
  • Act as the primary contact for payroll inquiries and updates in conjunction with HR and Management

Accounts Receivable:

  • Record daily cash receipts and reconcile as necessary
  • Process and submit remittance information
  • Contact clients for skipped invoices or remittance clarification
  • Prepare ad hoc client reports as requested by Management

Accounts Payable:

  • Create and submit for approval new vendors including obtaining W-9 and direct deposit forms
  • Collect and enter vendor invoices in ERP system with appropriate cost center coding and backup
  • Obtain first and second level approvals for payables.
  • Enter credit card transactions in ERP system
  • Manage AP aging, propose check-runs, obtain approvals, and process payments
  • Act as point person for operational vendor payment inquiries
  • Other duties as assigned by Management.

Qualifications (what we are looking for):

  • Demonstrated success in a comparable accounting position, possessing comprehensive experience in Accounts Payable, Accounts Receivable, and Payroll Processing.
  • Proficiency in ERP systems, Microsoft Office Suite, and ability to learn new systems quickly; Microsoft Dynamics GP / Business Central experience is a plus
  • Excellent oral and written communication.
  • Strong attention to detail and ability to handle sensitive information confidentially.
  • Ability to work independently and adapt to a fast-paced environment.
  • Strong work ethic that demonstrates a commitment to excellence (you do what you say and say what you do; you have excellent follow-up and follow-through)
  • Excellent punctuality and time-management skills (you show up on time and ready to work; you can meet and manage multiple competing priorities to accomplish results)
  • Associate or Bachelor's degree or equivalent work experience
