Job Summary

The Sales Coordinator will have primary responsibility for general administration that directly supports the sales managers, distributing recurring reports, correspondence, answering sales line, and assisting with projects. The Sales Coordinator must be a team player and be able to take direction from multiple supervisors.

Position will be based at our Hilton Asheville Biltmore Park property.

As the Sales Coordinator, you will:

• Enter group bookings in the OnQ / R&I systems for Hilton and Marriott brand properties.
• Create SRP's for group bookings and review group rooms resumes.
• Pre-qualify all general sales call inquiries prior to sending message to sales/catering managers.
• Assist the Sales Managers in day-to-day activities such as making calls to clients, mailing collateral, sending sales kits, etc.
• Responsible for obtaining a rooming list thirty days prior to the groups arrival and ensuring that it has been entered correctly by operations.
• Manage changes to rooming lists by communicating changes to front office.
• Run Audit reports on group blocks in Delphi and OnQ and check in both systems for discrepancies and fix problems if necessary. Also checking for cancelled groups that have not been cancelled in OnQ or Delphi.
• Maintain an inventory of department office supplies, forms, envelopes, letterhead, sales folders, note cards, menus, brochures and related items and reorders as needed.
• Take individual corporate reservations from VIP local corporate accounts when front desk is not available.

Essential Elements:

Regular attendance in conformance with the standards, which may be established by Biltmore Farms or the respective brand from time to time, is essential to the successful performance of this position. Assimilate into Biltmore Farms culture through understanding and support. Demonstrate working knowledge of the service standards. A hospitable service atmosphere must be projected at all times, with congenial client service.

Minimum Qualifications:

Any combination of education and experience equivalent to:

• Associate's degree in business administration, hospitality and tourism, or other applicable field of study preferred but not required; OR
• Any combination of education, training or experience that provides the required knowledge, skills and abilities is acceptable.
• Prior hotel sales or event planning experience preferred, but not required.

Knowledge, Skills, Abilities:

• Computer skills adequate to serve as an end user of employee databases, applicant tracking system, and Microsoft Office Suite products.
• Knowledge or aptitude for of hotel property management systems (i.e.: OnQ) and Delphi.fdc is recommended.
• Knowledge of basic hotel physical structure, including Banquet/Function Space, Guest Rooms and Restaurant areas.
• Knowledge of a hotel staff structure and how all departments interact.
• Ability to effectively communicate both orally and written in a friendly positive manner in order to enhance business, meet client needs and resolve challenges.
• Ability to listen, speak and write to ascertain and respond to client needs. Act as liaison between the client and various hotel departments.
• Basic mathematical and analytical skills to interpret various sales reports.
• Knowledge of banquet event etiquette, guest relations, and service standards.
