The Hermiston Experiment Station is seeking a Research Program Coordinator. This is a full-time (1.00
FTE
), 12-month, professional faculty position.
The Program Coordinator (Program Coordinator) is a member of a senior management team for the externally funded U.S. Department of Agriculture (USDA) project ‘Climate-Smart Potatoes from the Pacific Northwest – Managing Soil Health for Climate-Smart Outcomes’. The position provides high-level project management and administration that helps facilitate project administrators, technical advisory, technical assistance, and research project teams (project teams) with strategic planning, efficient resource management, and effective operation and communications of all project activities. The Program Coordinator takes the lead in establishing project policies, procedures, and grant administration in collaboration with the project teams. The position directs the production of required reports and acts as a liaison between the project teams and all support services needed for the conduct of the project, both internal and external to Oregon State University (OSU). The Program Coordinator works with OSU Business Centers to manage complex budgets in the provision of direct assistance to farmers and tribes, and ensures that funding agency requirements are met during conduct of the grant as well as during the funding close out phase. The Program Coordinator prioritizes and completes multiple tasks with various deadlines while working closely with the project teams.

50% Project Delivery
- Provide high-level support to project administrators, technical advisory, technical assistance, and research project teams for day-to-day project management, assisting in the implementation of robust project management processes, in line with best practices.
- Organize project events such as project team collaboration meetings, workshops, and seminars across three states and multiple American Indian Nations. Coordinate event preparation, including publicity and agenda development, document event outcomes, and identify further actions needed.
- Direct the timely preparation of required accomplishment and financial reports, gathering and synthesizing contributions from team members and internal and external partners.
- Maintain detailed project timelines and help the project teams track their progress on tasks, milestones, and deliverables to enable effective monitoring, revision, and evaluation of project activities.
- Oversee regulatory compliance issues such as conflict of interest, human subjects research, and other required trainings for the research teams. Direct the preparation of related applications, reports, and other documents.
25% Operations and Resources Management
- Monitor budgets and resources to meet research project objectives, ensure compliance, and anticipate future project needs. Prepare regular reports and spending plans as needed.
- Recommend and implement solutions to programmatic challenges, develop plans for improvements, and provide assessment of project operations. Provide tools and training for project teams as needed.
- Research internal and external policies and procedures when questions arise.
- Coordinate and prioritize activities using independent judgment to initiate actions in support of research project operations.
- Coordinate and manage project administrative operations as necessary such as hiring, making subawards, contracting, and fiscal management in partnership with other internal units.
20% Communications and Relationship Management
- Build and maintain collaborative and respectful relationships with internal and external partners including commodity organizations, processing companies, farmers, and American Indian tribal leaders and land managers; serve as a point of contact; and make independent decisions for the project’s objectives as appropriate.
- Recommend and develop team collaboration and communication processes and tools, adapting to the work style and needs of project teams and members. Share ideas based on best practices and lessons learned.
- Track and communicate research project metrics and outcomes, developing outreach and marketing materials such as websites, reports, and fact sheets to promote each project and its accomplishments.
5% Lead Work, Supervision, and Other Activities
- Other activities as needed on behalf of project team leaders or the College of Agricultural Sciences.
- May lead and direct the work of others.
- The incumbent will be required to drive a university owned or personal vehicle to complete a portion of the duties described above.
Bachelor’s degree in a STEM field, Business Administration, or related field.
Two years of experience providing project management, project coordination, and/or advanced administrative support.
Demonstrated ability to plan, organize, evaluate, prioritize, manage, and meet deadlines.
Demonstrated ability to manage multiple project activities simultaneously.
Excellent written and verbal communication skills.
Demonstrated ability to make independent decisions and recommendations.
Act as a resource to a wide variety of constituents.
Demonstrated ability to take initiative and lead within an organization.
Ability to work effectively with internal and external partners with diverse backgrounds.
Intermediate skills in Microsoft Excel or other spreadsheet software (such as creating formulas, data linking, filtering, conditional formatting, or similar).

Preferred (Special) Qualifications
Five years of experience providing project management, project coordination, and/or advanced administrative support for one or more longer-term projects.
Master’s degree in a STEM field, Business Administration, or related field.
Experience balancing work between multiple teams, projects, or supervisors.
Demonstrated ability to perform professional activities such as clientele engagement, conducting research, delivering effective presentations, and technical writing.
Experience in program coordination, research support, budget management, executive leadership support, office management, event planning, or similar activities.
Experience working in an extension and research information delivery setting.
Experience working in higher education or government service.
Experience working with Native American nations or in international settings needing cross-cultural skills.
Understanding of delivery of USDA conservation programs or similar government-supported programs.
Project management activities require working outdoors and occasionally working in extreme heat or cold conditions in remote field locations with uneven terrain.
Project management activities may require travel overnight and on weekends.
