Independent Living, Inc., a progressive and dynamic cross-disability services organization and a leader in the provision of peer services in the Hudson Valley region is seeking to hire a Receptionist/Office Assistant in Monticello. The Receptionist/Office Assistant will be responsible for various office tasks to include but not be limited to assisting the Program Manager, maintaining inventory, a professional working environment and the upkeep of the front office operations and processes. High school diploma or equivalent; some college preferred. Two years front office or administrative experience, preferred. Bi-lingual English/Spanish, preferred.

DUTIES AND RESPONSIBILITIES INCLUDES BUT ARE NOT LIMITED TO:

  • Maintains a high ethical and professional working environment in accordance with the Independent Living philosophy.
  • Maintains the upkeep of front office operations and processes.
  • Responsible for triage of consumers as needed.
  • Answers all incoming calls using proper phone etiquette and excellent communication skills. Forwards all calls to the appropriate staff member with a polite and cheerful attitude.
  • Retrieves and forwards all general voicemail messages to the appropriate staff in an efficient and timely manner.
  • Warmly interacts with all consumers, staff and public as the initial contact. Greets all individuals entering the agency in a pleasant and professional manner.
  • Assists with public relations and marketing activities as needed.
  • Assists Program Manager to ensure coverage when a staff person is absent.
  • Sorts and distributes inbound and outbound mail in a timely manner. Also assists staff with outgoing mail support.
  • Maintains inventory of ALL supplies and orders as needed.
  • Facilitates operation of all office equipment including but not limited to computer technology, telephone system, fax machines, copiers, etc.
  • Maintains Office Management files, including program binders.
  • Monitors Employee Sign In and Sign Out logs and Visitor Sign-In sheets on a daily basis.
  • Responsible for data entry process of consumer intakes, emergency supplies, and assists the Program Manager with monthly reports from the database.
  • Ensures compliance of van schedules, lists of approved drivers, keys, and vouchers for gas card purchases.
  • Schedules and maintains van and conference room reservations in Outlook as per employee requests.
  • Maintains contact listing in Outlook.
  • Assists in updating and maintaining agency databases.
  • Provides clerical support to Monticello site employees as needed.
  • The above list of responsibilities is not intended to be all inclusive, other responsibilities and/or training may be assigned or required.

SHIFT:

  • Monday through Friday 9:00am-5:00pm

Qualifications

QUALIFICATIONS:

  • High school diploma or equivalent; some college preferred.
  • Two years front office or administrative experience, preferred.
  • Bi-lingual English/Spanish, preferred.
  • Honesty, respect for diversity, high personal standards, language, and behaviors reflecting such values and the Independent Living philosophy.
  • Must be dependable, resourceful, and possess problem-solving skills.
  • Organized and meticulous with proven ability to handle multiple tasks in a fast-paced environment. Must be a team player with a positive can-do attitude.
  • Demonstrated ability to recognize the need for and facilitate connections between consumers and IL and other disability related services.
  • Must maintain confidentially pertaining to all aspects of Center operations including, but not limited to, consumer confidentiality.
  • Excellent customer service skills.
  • Strong computer skills. Proficiency in MS Office (Outlook, Word, Excel and PowerPoint).
  • Excellent written and verbal communication skills.
  • Excellent telephone and typing skills.
