Receptionist

Focus is a popular, rapidly growing, service oriented, property management company, seeks full time Receptionist to help assist residents with questions and concerns, provide great service and enhance office organization. We are looking for a positive, hardworking, trustworthy, and organized person with a strong ability to multitask. This is a great opportunity to gain an understanding of the inner workings of property management and real estate investing.


Responsibilities

  • Set up appointments for employees, and send out any necessary communication
  • Direct incoming calls to the correct department and follow up if needed
  • Assist with building a strong service culture
  • Processing bills and help residents if they have any questions regarding our Appfolio database or charges
  • Organize files for billing, leasing and maintain all records accurately
  • Direct visitors to waiting area
  • Respond to all customer inquiries in positively and professionally
  • Help in response to Google Reviews and any resident complaints.
  • Assist in diffusing situations and identity solutions to various situations.
  • Answer and direct phone calls in a polite and friendly manner
  • Welcome visitors in a warm and friendly manner, and answer any questions visitors have
  • Maintain reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Keep detailed and accurate records of visitor requests and of calls received
  • Receive deliveries; sort and distribute incoming mail
  • Take inventory of supplies and restock as needed
  • Maintain the general office filing system

Qualifications/Skills

  • Verbal and written communication skills to interact clearly with customers, vendors, and other employees
  • Organization skills to keep accurate records and find important information quickly
  • Time management skills to prioritize and complete a side variety of tasks throughout the day
  • Patience and listening skills to respond appropriate and interact positively with upset residents
  • Interpersonal skills to create a pleasant experience for all residents, such as being personable and attentive.
  • Excellent computer skills. Must be proficient in Microsoft Office including Outlook, Word, Excel and PowerPoint.
  • Desire to be proactive and create a positive experience for others
