Purchasing Agent, UHS HospitalsUnited Health Services is seeking a Purchasing Agent to support the Procurement Department functions for UHS Hospitals. This is a benefits-eligible position.

Purchasing Agent Position Overview
Administers the procurement of equipment, supplies and contracts, following prudent purchasing practices and established management policies in a manner to ensure the timely delivery of these items in support of all UHS system members. Develops processes which support system goals to manage expenses, standardize products and manage utilization.
Purchasing Assistant Responsibilities and Expectations
Locates sources of supplies and interviews prospective vendors to determine product availability and cost. Conducts final negotiations on complicated, technical and large contract proposals and arranges for new product evaluations when necessary/requested.
Reviews the processing of purchasing requisitions and ensures products are correct for their intended applications and match system standardized product listing and brings forward any questionable purchases or requests. Communicates to all departments' information regarding products and their availability on a regular basis and assists departments in the selection of products to be used. Monitors and evaluates vendor performance.
Adheres to our Key Performance Indicator goal of 85% requisition to completion in -/= 3 business days.
Monitors and resolves problem invoices, shipping or receiving issues. Required to run a weekly open order report. Management of the report includes, but not limited to: adding line item notes with the current status and communicate with the applicable department in the event that delays arise.
Maintains close communications with accounts payable and materials handling staff by taking steps to resolve and prevent issues with customers and vendors.
Reviews individual purchase orders, accrued receipts and discrepant invoices on a weekly basis to ensure they are resolved in a timely manner/payment.
Provides procurement information to the System Director of Procurement, Sourcing Specialists, Value Analysis Coordinator and recommendations of products, services and equipment based on cost, quality and availability.
Monitors blanket and standing orders, leases, contracts and maintenance agreements and ensures that centralized listings are kept up-to-date.
Prepares, reviews and analyzes bids (as requested), requests for proposals and quotations for all items that meet the criteria set in the Competitive Pricing Policy and Procedure. ECRI analysis must be completed on all bids, RFP’s and Capital Requests.
Utilizes multiple information systems to complete duties including ordering, invoice management, contracts, developing reports, tracking orders/deliveries, catalog information and all related procurement activities. Uses these systems to ensure standardized purchasing practices are occurring and savings opportunities implemented.
Prepares and processes direct order entry requisitions, capital purchases orders and special orders, and monitors all orders to ensure timely delivery while maintaining and updating all related pricing files. Coordinates the return and repair of products/equipment and arranges for loaners if necessary.
Provides support to, or leads committees such as Value Analysis Teams or projects as assigned by the System Director of Procurement.
Responsible for monitoring GHX daily and update pricing/catalog numbers, and purchase order, etc. within 24 hours of the GHX exception.

Position Qualifications
Education/Experience
Minimum Required:
Associate’s degree and minimum 1 year experience in Supply Chain, Materials Management or other business related activity
Preferred:
Bachelor’s Degree of Science in fields stated above and experience with healthcare procurement
