Job Summary:

The Practice Associate IV is an experienced professional with exceptional medical practice support skills supporting the front desk operations in the Department of Radiology. This position is a team lead that works with minimal supervision and supports peers with expertise, organizational knowledge and guidance in support of the day-to-day operations in the Department of Radiology.

Job Responsibilities:

  • Greet patients and visitors, conduct pre-registration, check-in, check-out, appointments, and other related tasks as requested.
  • Obtain all required registration and intake information from patients; verify and/or update any new insurance or other information in Epic; obtain prior authorizations and referrals for visits and tests and verify eligibility for services; accurately indicate arrivals, no-shows, reschedules, and physician cancellations in Epic; collect all time-of-service and past due payments.
  • Manage and review physician’s schedules to ensure all authorizations and pre-certifications for office visits and procedures are obtained.
  • Coordinate and schedule appointments, procedures, and other specialty services/tests as requested.
  • Function as a liaison between the clinical provider, referring physician, and patient.
  • Verify patient insurance eligibility and benefits as needed.
  • Conduct all pre-determination, authorization, and pre-certification.
  • Serve as a first point of escalation for escalated cases or front desk issues.
  • May rotate to other sites and serve as Team Lead and/or Preceptor. May supervise tasks and determine resolution and/or escalate as appropriate.
  • Assist Supervisor/Manager with special projects as needed.
  • Conduct audits to identify training gaps and monitor established service standards. Make recommendations for remediation. Track compliance, education, and training requirements of the unit.
  • Provide educational sessions to train new staff in front-end processes.
  • Assist Supervisor/Manager with staff scheduling and coverage.

Job Qualifications:

  • Associate degree is required. May be substituted by 2 years of relevant experience.
  • A minimum of 5 years’ relevant experience or a combination of certifications, coursework, and experience.
  • Prior experience in a medical office environment is required.
  • Strong emotional self-awareness, emotional self-control, empathy, and adaptability skills as it pertains to the patient experience.
  • Strong customer service orientation, interpersonal skills, and the ability to deliver consistent exceptional service while demonstrating tact, respect, and sensitivity.
  • Ability to mentor teammates and demonstrate professional and compassionate manner while conveying a positive image of the practice.
  • Excellent verbal and written communication skills. Must be able to communicate with multiple stakeholder audiences.
  • Strong proficiency with Microsoft Office (Word and Excel) or similar software is required, and an ability and willingness to learn new systems and programs.
  • Prior experience in a radiology or medical imaging office is preferred.
  • Prior experience in Epic is preferred.
  • Prior experience delivering training is preferred.
