The Outpatient and Electives Scheduler is a key member of the residency administrative team and responsible for outpatient scheduling for the residents. This position requires attention to detail, sound decision making and collaboration skills to work closely with the residents, chief residents, and residency leadership team.

The incumbent coordinates and schedules professional health educational activities, including vacation schedules, didactic schedules, and intern PQJ schedules of resident physicians during ambulatory and research portion of internal medicine residency training. Ensures training meets ACGME, ABIM, GME and Medicare accreditation and regulatory requirements. Records all changes in OnCall scheduling system and communicates all changes with ambulatory sites and all stakeholders. Follows up with ambulatory sites to ensure resident attendance and compliance. Meets with Program Leaders regularly to confer about program and/or rotation goals.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Medicine’s mission is research, both basic and clinical, teaching, patient care and public service. The Department has a decentralized organizational structure across six sites – Parnassus, SFGH, VAMC, Mt. Zion, Laurel Heights, and Mission Bay, with approximately 40 divisions. Authority and accountability for the Education Division programs resides with the Associate Chair for Education who works with Residency and Clinical Fellowship Program Directors at all sites to achieve the academic mission.

The Internal Medicine Residency Program is a vital component of the UCSF Department of Medicine’s Educational mission. It is the largest residency program at UCSF and is nationally recognized for excellence by the ACGME (Accreditation Council for Graduate Medical Education).

Required Qualifications

  • Bachelor's degree in related area and minimum three years of experience / or equivalent experience / training.
  • Thorough knowledge of relevant policies and regulatory requirements. Solid knowledge of health professions education program requirements. Thorough knowledge of health professions education industry.
  • Thorough knowledge of administrative analysis and operations research. Demonstrated ability to develop and implement processes and systems. Thorough knowledge of the administrative and operational implications in a program.
  • Demonstrated experience and documented excellence in oral and written communications skills; includes active listening and critical thinking.
  • Strong interpersonal skills. Actively cooperates and supports the work of others. Ability to work productively with anyone regardless of background. Empathetic and aware of impact on others. Strong problem-solving skills to assist learners and resolve issues.
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines.
  • Superior problem solving and analytical skills.

Preferred Qualifications

  • Advanced knowledge of Microsoft Office Programs Excel, Word, Access, Outlook), Knowledge Req of or ability to learn software programs (MedHub; On-Call, Schedule Maker, Qualtrics, Amion or a commercial scheduling program).
