As an Office Manager you will report to the Chief of staff and will be an early and crucial member of our growing team. You will be responsible for:

  • Working closely with our accounting team to manage accounts payable and accounts receivable:
    • preparing and sending invoices to customers, with supporting documentation
    • Posting payments to customer accounts
    • Responding to vendor invoices and managing vendor agreements
    • Verifying the accuracy of invoices before sending out payments
    • Organizing and filing deposit receipts as invoices are paid
    • Running bi-weekly payroll and verifying the hours and pay for the given pay period for each employee and contractor
    • Managing the expense reporting process
  • Overseeing facilities management:
    • Monitoring office supplies and ordering new supplies as needed
    • Coordinating with maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
    • Receiving shipments, managing inventory and staging equipment for jobs
  • Assisting with the on-boarding and training of new employees and organizing their employment paperwork
  • Assisting the CEO and other members of the senior leadership team with:
    • Meeting minute preparation and circulation in agreed upon time frame and manner, logging applicable tasks into the project management software
    • Maintenance and creation of complex co-related company and project calendars
    • Assistance with travel arrangements and off-site meeting room bookings
    • Organizing and coordinating staff and external meetings, moderating on-site video-conferences
  • Leading the way in using a variety of software systems including project management, HR, and expense management software
  • Performing other related duties and special projects, as assigned
  • Initiating and establishing new procedures for office administration and billing tasks

Skills and Qualifications

  • Proven experience as an office manager, executive assistant or administrative assistant
  • Good understanding of clerical and administrative procedures
  • Proficient in Microsoft Office Suite or similar technology
  • Comfortable with technology and learning new systems
  • Experience in HR, Payroll, and personnel management
  • Proficient in QuickBooks Online
