Job Posting:
· Excellent knowledge of customer service is required to be able to render services to clients in a professional manner.
· Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
· Identify and participate in process improvement initiatives that improve the customer experience, enhance workflow, and/or improve the work environment.
· Operate telephone switchboard to answer, screen and forward calls, providing information and taking messages.
· Transmit information or documents to customers, using computer, mail, or facsimile machine.
· Verify insurance eligibility and benefits.
· Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
· Responsible for updating, maintaining, and dispersing company directories.
· Provide administrative support on special projects, as assigned.
· Provide support for training/events, as needed.
· Proficient in basic computer software programs like Microsoft Office and electronic medical records software.
· As part of the medical records process, the Front Office Coordinator must be able to effectively collect clients’ information as part of clinic procedures for record keeping and future reference.
· Collect co-pays, co-insurance amounts and deductibles owed by patients when they come in for a visit.
· Make reminder phone calls the day before the client’s appointment.
· The Office Coordinator is responsible for scheduling all patient appointments with clinical staff. Importantly they must aggregate clients around times and hours such that the doctors and therapist’s days are filled.
· The Office Coordinator must maintain stock of forms, office supplies and ensure reception area is well maintained for patients.
· Track new patient calls and summarize weekly and monthly.
· Any other duties as assigned.
Requirements:
· Must be 18 years or older.
· High school diploma or GED required or equivalent related work experience.
· Minimum of one (1) year experience in professional office environment.
· Effective verbal and written English communication skills.
· Strong knowledge of HIPAA laws and regulations.
· Demonstrated intermediate to advanced skills in Microsoft Word, Excel, Power Point and Outlook, Internet, and Intranet navigation.
· Highest level of professionalism with the ability to maintain confidentiality.
· Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.
· Must be pro-active and exhibit quick bias for action and response.
· Superior customer service skills and a friendly, persuasive telephone manner.
· Strong attention to detail and accuracy, excellent organizational skills with ability to prioritize, coordinate and maintain multiple projects simultaneously with high level of quality and productivity.
· Strong analytical and problem-solving skills.
· Ability to work with minimal supervision, take initiative and make independent decisions.
· Ability to deal with new tasks without the benefit of written procedures.
· Approachable, flexible, and adaptable to change.
· Ability to work flexible hours and overtime, as needed.
· Function independently, and have flexibility, personal integrity, and the ability to work effectively with stakeholders and vendors.
Physical and Sensory Requirements:
· Moderate physical activity:
o Requires handling of average-weight objects up to twenty-five (25) pounds.
o Sitting for more than two (2) hours at a time.
o Requires consistent computer work with repetitive typing and concentrating on computer screen.
o Requires consistent operation of telephone system.

Job Type: Full-time
Pay: $17.00 - $20.00 per hour
