Purpose:
Non-profit medical clinic seeking an energetic and compassionate individual to welcome patients and coordinate patient care.
Charis Health Center’s mission is to deliver quality, compassionate healthcare and health education to those without insurance or the ability to pay for the services they need to ensure our community’s physical and spiritual wellbeing.
The Charis Health Center Receptionist provides total medical office support including check-in, check-out and medical records functions. Manage the reception of patients within the office and by telephone. Obtains patient information, demographic information, screen for COVID-19 symptoms, collects co-pays, schedules new and return appointments including treatments or tests, monitor and distribute inbound and outbound documentation whether electronic or paper format.
Essential Duties and Responsibilities:
- Answers the telephones and greets patients in a courteous, efficient manner. Routes messages to appropriate discipline.
- Conducts patient check-in and check-out process. Obtains pre-patient registration, demographic and enters appropriately into Patient Management System (PM) or Electronic Health Record (EHR).
- Collects co-payments at time of service and manages daily cash receipts.
- Registers new patients in Patient Management System (PM), ensuring all information is complete prior to scheduling.
- Schedules patient appointments, tests and admissions.
- Prepares the Electronic Health Record (EHR) for review by Clinical Staff. Obtains necessary records prior to patient's appointment.
- Monitors and routes inbound and outbound faxes.
- Opens and distributes mail as required.
- Electronically scans appropriate patient related records into the Electronic Health Record (EHR).
- Distributes outbound correspondence or copies of records as necessary.
- Completes process for Request for Medical Records.
- Protects patients' rights by maintaining confidentiality of personal and financial information and follows HIPAA regulations.
- Reports to Executive Director for administrative duties.
- Maintains operations by following policies and procedures and reports changes as needed.
- Trains and oversees responsibilities of front desk volunteers.
- Contributes to team effort by accomplishing related results, as needed.
- Routinely demonstrates superior customer service skills.
- Communicates with patients, internal as well as external customers, in a courteous, professional, cooperative & mature manner.
- Responds to patient communications. Contacts patients regarding scheduling and phone messages.
- Prepares, cleans, stocks and maintains front desk and lobby daily.
- Verifies that all assigned telephone encounters have been attended to daily.
- Responsible for abiding by the Standards of Conduct and meets all compliance training requirements.
- Participates in professional development activities and maintains professional affiliations.

- Maintains strict confidentiality.
- Treats staff, physicians, visitors and patients with dignity and respect.

- Participates in special projects as needed.

Qualifications & Requirements: High school graduate or equivalent with GED.
- Knowledge of medical practice and care.
- Knowledge of common safety hazards and precautions.

- Ability to adapt daily to numerous changes in scheduling procedures.

- Experience with and ability to proficiently use Athena Health program preferred
- Previous Medical Office experience preferred
- Strong computer skills including Windows file management and MS Office, and e-mail experience.
- Electronic Medical Records experience preferred.
- Good verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Excellent customer service skills.
- Dependable.
Education and/or Experience Requirements:
- High school graduate or GED.
- Fluent in Spanish (preferred)
Additional Notes:
- 35 hours a week
Physical/Mental Requirements:
- Have full range of body motion, including handling and lifting of patients.
- Have the hand-eye coordination and manual dexterity needed to operate a keyboard, photocopier, telephone, calculator and medical equipment.
- Have a normal range of hearing and eyesight to record, prepare and communicate appropriate reports; specific vision requirements: close vision, distance vision, color vision, peripheral vision, depth perception and the ability to focus.
- Occasionally lift and carry up to 50 pounds.
- Relocate to other jobs or office locations if necessary.
- Maintain professional certification, if applicable.
