This position currently falls under the Centers for Medicare and Medicare Services (CMS) vaccine mandate. If you are selected for this position, you will be required to comply with CMS requirements. Summary: This position is responsible for coordinating and managing all facets of product deliveries between external/internal customers and direct to patients. Provide oversight of our third-party courier vendors who dispatch deliveries from multiple business lines. Hire and manage in-house delivery drivers. Act as primary decision maker on determining most cost-effective avenue for deliveries. Manage relationships with various shippers and software (FedEx, UPS, Shipstation). Oversee company fleet vehicles and maintenance schedules. Monitor delivery specific KPI’s utilizing Virtuscript software.
Essential Duties & Responsibilities
- Provide oversight of third-party couriers who will be dispatching deliveries from multiple business lines. Emphasis on driver training, Virtuescript usage, excellent service and financial responsibility.
- Manage and oversee relationship with all third-party couriers.
- Responsible for hiring and managing in-house delivery drivers.
- Primary decision maker on determining most cost-effective avenues for delivery (analysis of current routes/stat’s/on demand work)
- Oversight of employees/vendors who perform shipping of third-party packages for all departments (Fedex/UPS/USPS).
- Manage relationship and pricing with all third-party shippers and related software (Fedex, UPS, and Shipstation)
- Provide KPI results in monthly Leadership Team meetings (i.e. cost per mile, confirmed deliveries, etc)
- Provide reporting to Director of Pharmacy Operations and key stakeholders on delivery statistics and performance improvement opportunities (i.e. on time percentages, % of Stat deliveries, response time performance, signature & photo capture percentages, and overall cost per delivery)
- Primary contact for any functional issues related to Virtuescript program which includes communication of all software related issues to Development team as needed. Also responsible for on boarding new users to Virtuescript.
- Assist Director of Pharmacy Operations on developing internal workflow related KPI metrics to guide process improvement and efficiency.
- Perform related duties as assigned by Director of Pharmacy Operations.
- Maintain compliance with all company policies and procedures.
- Troubleshooting delivery related issues and determining corrective actions, root-cause analysis, and update department managers as well as providing suggested changes to current processes to prevent future delivery failures.
- Monitor and report on transportation costs and delivery related issues to managers.
- Collaborate with Purchasing and IT Teams on special project management objectives per Director of Pharmacy Operations.
- Oversight for employees who monitor company’s fleet of vehicles.
Minimum Qualifications:
Education: High school diploma or GED required · Bachelor’s degree preferred · Certified Pharmacy Technician preferred or Pharmacy experience
Experience: At least 2 years of experience in Warehouse setting and/or Pharmacy distribution.
Functional Competencies: Excellent verbal and written communication skills, including ability to effectively communicate with internal employees and external patients. Excellent computer proficiency (MS Office – Word, Excel and Outlook). Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service. Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
