Human Resources/Talent Acquisition Assistant

Job Summary: EPSI is a rapidly growing nonprofit agency that specializes in federal and state contracts along with commercial service contracts. Our business lines include Hospital Environmental, Custodial, Environmental Cleanup and Grounds Maintenance Services. Job Responsibilities:

  • Supports the Human Resources department and the Vocational Rehabilitation Specialist by acting as first contact for recruiting related inquiries, posting jobs on Indeed, Facebook and other media, helping to source applicants from community partners, screening applicants for disability and work qualifications, coordinating with hiring managers, and processing and reviewing applicable background checks based on the business area and contract requirements. Includes travel to local sites regularly and to non-local sites occasionally required.
  • Documents and tracks applicant and personnel actions by completing forms, logs, reports, and records.
  • Provides new hire onboarding for new employees by creating and providing personalized new hire information packets, reviewing company policies, gathering withholding, payroll information, and disability paperwork, explaining benefit programs, and obtaining signatures for documents.
  • Processes I-9s through the E-Verify system.
  • Maintains human resources records both electronically (and in paper form as needed) for employees by recording the hiring, transfer, termination, and employee and job status changes as well as reviewing vacation and sick time accruals and usage.
  • Communicates and interacts with community partners, social workers, and housing authorities related to employee issues.
  • Completes requests for information for verification of employment, child support order information, and other employee information as needed.
  • Coordinates Benefits Open Enrollment meetings and enters annual changes into the payroll system along with vendor systems as needed. Tracks and enters any mid-year changes to benefits eligibility and changes.
  • Administers employee leave programs, including FMLA and state leave where applicable, disability benefit programs by advising employees of eligibility, providing application forms. and verifying employer information submission.
  • Collaborates in preparation of data files and information for Benefits Open Enrollment, EEO-1 and AAP reporting, annual workers’ compensation, 403(b), and Vocational Rehabilitation audits.
  • Other duties based on EPSI missions and directives as assigned.

HR Administrative Assistant Qualifications/Skills:

Written and verbal communication skills:

  • Bilingual required;
  • Speaks with others using clear and professional language; and
  • Prepares and reviews written documents accurately and completely with attention to detail.

Collaboration with all levels;

Ability to multi-task, prioritize tasks, and to organize information as needed to complete tasks;

Proficient in the Microsoft Suite including creating and modifying documents, calendars, spreadsheets, and presentations;

Ability to create reports and complete basic analysis of data; and

Basic understanding and knowledge of employment law and housing regulations preferred.

Education and Experience Requirements:

  • Bachelor’s degree and/or work equivalent required;
  • One year of administrative support experience required;
  • Microsoft suite experience required;
  • Human Resources, Talent Acquistion, or Social Work experience preferred;
  • Non-profit or government agency experience preferred;
  • Indeed or similar job board and/or ATS experience preferred; and
  • ADP or other HRIS/Payroll system experience preferred.

Salary Range: $42,000 to $45,000 dependent on qualifications and experience
