Position Summary

The Continuing Health Education Coordinator – LBM Programs position is intended for a highly motivated coordinator; capable of multi-tasking and working with multiple departments to obtain program specific documentation and rotation schedules for accreditation. This position involves heavy data entry and extreme attention to detail for "audit ready" files/documents at all times. Required data entry will include entering more than 100 schedules and resident demographic information annually which is necessary for Medicare reimbursement and CHGME grant award. This will also include working with multiple departments to obtain monthly schedule changes and enter them into the residency management software program, New Innovations. The coordinator will be expected to be or become in the first 6-months of employment, a New Innovations Super User to run error reports and understand how to fix all errors, in addition to having or obtaining an expertise in all functions of the program. The Center for Health Education (CHE) Coordinator will provide accreditation support to assigned affiliated residency programs and work closely with Program Directors to manage a large cohort of resident needs. The Center for Health Education Coordinator will manage specialty specific medical education committee meetings as deemed necessary by Residency Program Directors. The Center for Health Education Coordinator effectively communicates with co-workers, planners, coordinators, and physicians.


Essential Functions and Responsibilities of the Job

  • Internal Medicine Residency Program Designated Site Coordinator
  • Provide support to the UCI Internal Medicine Residency site director, chief residents and residents
  • Coordinate on-boarding activity for monthly rotators
  • Coordinate annual orientation workshops for UCI Internal Medicine and Charles Drew Internal Medicine programs in conjunction with the designated physician site director
  • Manage PerfectServe

  • General Surgery Residency Program Designated Site Coordinator
  • Provide support to the UCI General Surgery Residency site director, chief residents and residents
  • Coordinate on-boarding activity for monthly rotators
  • Coordinate monthly Surgery Medical Education Committee meeting in conjunction with the dedicated physician site director
  • Coordinate monthly Morbidity and Mortality meetings in conjunction with CME Coordinator
  • Manage PerfectServe

  • IRIS and CHGME “Audit Ready” Documents for Assigned Programs (See #4)

  • Interface with residency coordinators at all affiliate sites to obtain appropriate documentation to complete the following duties:
  • IRIS Documents – ERAS application, medical school diploma, ECFMG certificate if applicable, immunization attestation
  • Rotation Schedules – Complete rotation schedule for full academic year
  • Monthly Rotation Schedule Changes – Monthly request for changes from the original rotation schedule by the 5th of each month to be turned into the CHE Reimbursement Coordinator to update New Innovations

  • New Innovations
  • New Resident and Fellows – complete New Innovations personnel records for incoming resident and fellows
  • Add rotation schedules for all programs to LBMC and any additional assigned programs
  • Track IRIS portal to ensure errors are cleared and accurate FTE’s are reported
  • Develop audit report summaries upon request.

  • In collaboration with Graduate Medical Education Lead, assist with management of all ACGME activity.
  • Perform other duties as assigned.

Pay Range: $27.52/hr - $39.90/hr

Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Qualifications


Minimum Requirements

Qualifications/Work Experience:

  • 3 years’ experience as an Administrative Assistant.
  • Previous experience in data entry and/or scheduling preferred

Education/Licensure/Certification:

  • High School diploma required
  • Bachelor’s degree in business OR organizational development preferred.
