JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Penn State Survey Research Center is hiring a full-time Financial Associate (Financial Assistant 4) to manage financial activities of the Center. This position works directly with the Center Director and Project Managers to forecast and monitor budgets for approximately 50 projects.
Responsibilities: The individual in this position will have the following responsibilities:
- Assist the Financial Manager to oversee the accounts for both internal and external research projects;
- Advise and disseminate financial policies to assure that budgetary concepts and guidelines for a University Service Center/Charge-out Center are adhered to in addition to university financial guidelines.
- Oversee internal accounting processes, monthly invoicing to customers, oversee project device accounts invoicing for vendors, provides reporting and budget analysis.
- Work closely with programming staff to make recommendations for enhancing internal systems used for tracking effort on projects and maintains internal invoicing processes.
- Coordinate the center’s cash handling for research incentives, ordering cash, deposits, account reconciliation, manage a ledger and assure financial controls are followed.
- Assist with human resource activities for extensive wage hiring activities across the United States, continually working within service center charge-out rate structure.
- Work with Research Accounting to monitor grant requirements and requests to adjust account dates and budget controls.
- Serve as Facilities Access Coordinator for the unit.
- Resolve moderately complex issues for both internal and external customers, and work with various college/departmental administrative staff to accomplish financial operations.
Education and Experience: This position typically requires a High School Diploma and 5+ years of related experience, or an equivalent combination of education and experience.
Competencies critical to success are exceptional customer services instincts, commitment to team, accountability, follow-through and attention to detail, proficient knowledge of accounting principles. Strong working knowledge of MS-Excel is required.
System experience in SIMBA (Financial system), SAP Concur (travel and expense management system), CCure (electronic security system software) is preferred. Experience with database software and prior experience with university service center/cost recovery operations is preferred.
This position will require successful completion of standard background checks.
This position will follow a hybrid model, with a combination of in-person and remote work every week.
This is a limited term appointment funded for one year from date of hire with possibility of re-funding.
