Facilities/Engineering Office Coordinator- Full Time (Lake Tahoe)

Provides a working leadership role in the support of the Facilities
KEY JOB FUNCTIONS :
- Oversee the day-to-day office operations.
- Work closely with the Engineering Director and assist with scheduling meetings or other duties as assigned
- Monitor engineering radio for daily shift information, review and or enter information in the Facilities Engineering Shift Report Database.
- Maintain parts requests and order for engineers to ensure proper inventory for repairs and maintenance as necessary to perform their tasks in a timely manner
- Ability to enter requisitions for catalog and non-catalog orders in the Oracle purchasing system
- Contact and follow up with vendors for written quotes required to be entered in Oracle for creation of a Purchase Order for all non-catalog orders
- Assist engineers in becoming familiar with our company approved vendor pool
- Enter and approve Grainger weekly Keep Stock scans in Oracle for restocking the Issue Room
- Follow-up with vendors on ETA of ordered items as requested
- Receive warehouse orders, identify, and distribute to engineers for repair work
- Retain delivery and packing information for vendors in file
- Monitor Issue Room
- Assure office supplies are ordered and available
- Package and create shipping labels for returned items
- Order warehouse stocked items for engineers and office in the Stratton Warren system
- Ability to create & search Work Orders in Maximo when necessary for Engineers and other property operators.
- Assist in assuring Work Orders are in Maximo for repairs and maintenance.
- Maintain, update, and approve timeworks for all engineers and supervisors. Work with supervision to track PTO, FTO and HOL time as well as sick and late calls. Log attendance points in accordance with the properties attendance policy and assure paperwork is printed and delivered to supervision for handling.
- Maintain an ongoing positive working relationship with our vendors.
- Work closely with purchasing to secure competitive pricing on equipment and parts.
- Maintain elevator, escalator, boiler & property vessel permits.
- Check the mailroom engineering box daily, put DMV cards and registrations in Rick Kline’s box in Harrah’s shop for a timely registration of property limos and vehicles.
- Check out and log vendor master keys and assure they are returned by end of day.
- Log & issue parking stickers for vender parking
- Maintain employee and vendor files.
EDUCATION and/or EXPERIENCE:
- High school graduate or equivalent preferred
- Minimum of five years in assigned field, including any required certification preferred.
QUALIFICATIONS:
- Literate and fluent in English
- Knowledgeable of Timeworks, Stratton Warren, Oracle, Maximo,
- Basic computer skills, Microsoft skills preferred
- Good communication skills, both verbal and written
- Good interpersonal skills, with emphasis in relationship building
- Good problem-solving skills
- Good customer service skills, both internal and external
- Ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated business
- Acts as a role model to other Team Members and always presents oneself as a credit to Caesars Entertainment and encourages others to do the same.
- Adheres to all regulatory, company and department policies and procedures
PHYSICAL, MENTAL and ENVIRONMENTAL DEMANDS:
- Visual and auditory field must include immediate environment.
- Must be able to sit, stand or walk for long periods.
- Mobility to move about the property
- Must have the manual dexterity to operate a computer and other necessary office equipment.
- Must have the ability to push, pull, reach, bend, twist, stoop, and kneel.
Positions that have contact with the public require the ability to work in a noisy
environment, and may be exposed to guests who use tobacco products. Also, non-public contact positions may be required to enter public areas from time to time, in connection with their duties, and may be subject to the same environment.
