The Administrative Assistant Provides internal administrative assistance to team. Provides administrative support necessary to meet department’s goals and objectives.

This is a in person position for candidate living or willing to relocate to OR or WA.

Required Skills, Experience & Education:
  • High School diploma or equivalent.
  • 1-2 years’ experience in an administrative support function.
  • Typing ability of 50 wpm net.
  • Computer proficiency with Microsoft Office application.
  • Working knowledge of insurance field.
  • Strong customer service skills.
  • Knowledge of internet travel tools.
  • Strong analytical, problem solving, and decision-making skills.
  • Strong organizational and detail orientation skills.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to work well under pressure with frequent interruptions and shifting priorities.
  • Ability to come into work on time and daily.
  • Maintain confidentiality and project a professional business image.
Primary Functions :
  • Provides administrative support to the Sr Vice President as requested.
  • Responsible for travel requests. Responsibilities include but are not limited to providing the best financial solutions while meeting the travel requests of the travelers. This will include seat assignments, meal selections and hotel accommodations. Provide packet with all pertinent information. Deliver travel requests in a professional manner.
  • Prepares internal and external correspondence.
  • Acts as a liaison between the various internal departments and the Sr Vice President when out in the field.
  • Supports the Sr Vice President by preparing all requested documents in a professional manner.
  • Organize, coordinate, and manage meetings internally and externally.
    • Meet weekly to discuss priorities for the current week and upcoming weeks.
    • Determine which meetings should be prioritized to schedule. Certain individuals will take priority.
    • Make sure there is an agenda, except those not highlighted in green. If there is no agenda, advise them I will not be meeting with them until an agenda is received.
    • Allow 15 to 30 minutes between meetings.
    • For external meetings ensure travel time to and from meetings are built in and if a parking pass is needed, facilitate receiving one.
  • Assist in the preparation of materials for presentations.
    • Board Meetings
    • Finance Presentations
    • AM Best
    • Certain Banking Meetings
    • Other presentations
  • Maintains responsibility for organization of workflow room.
    • Put away supplies in a timely manner.
    • Devise, organize and maintain filing system.
    • Print materials for out of office meetings.
    • Print Board Meeting materials following Executive review.
    • Review legal documents, contracts, and other important correspondence.
    • Help manage physical in and out boxes.
    • Route paperwork/items to appropriate recipient.
  • Provides back up phone coverage support for other assistants and receptionist as requested.
    • Divert/ignore external sales calls
    • Prioritize certain individuals calls based on predetermined list
  • Performs other duties as assigned.
