Job description
Executive Assistant to the Chair and Administrator of the Department of Neurological Surgery and Gene Therapy Institute; serves as core liaison between Chair and other departments, the college, hospital administration and other healthcare professionals, vendors, visitors and others; utilizes considerable discretion and judgment in handling actions on behalf of Chair and determining appropriate disposition of matters; confers with Chair daily to set priorities and ensure deadlines are met; coordinates and oversees daily administrative functions of the Chair's office; schedules high level meetings with executive staff of hospitals, the college, & the university; coordinates operational issues related to the Chair's administrative and clinical schedule; collaborates with Chair and Department leaders to develop and administer policies and patterns of administration; resolves administrative and operational problems; researches and summarizes information to aid chair and department administrator in decision making and strategic planning; monitors, determines and compiles content for complex departmental administrative reports; coordinates all aspects of complex travel for the Chair;

Determines priorities and coordinates the Chair's complex schedule, requiring extensive calendar functions. Determines issues for discussion and prepares agendas for Faculty Meetings. Researches or obtains background information on issues for meetings and speaking engagements, identifies and prepares talking points, records transcribes and distributes minutes; May organize and facilitate special events

Facilitates special projects as directed by department administrator; serves as procurement coordinator for the Chair's office; coordinates and screens all information, correspondence and mail received for the Chair; independently responds to correspondence and inquires on behalf of the Chair; answers phones, screens and directs calls; provides background materials to facilitate action on requests received, highlighting action needed and deadlines; may serve as Promotion and Tenure Coordinator; works with FGP group in the preparation of letters of offer for department recruits; processes payment requests for vendors and internal faculty and staff; Serves as back up timekeeper; processes human resources changes via Workday; may serve as staff lead for academic assistants; provides training to incoming staff; other duties as assigned.
