JOB SUMMARY

The Executive Assistant will perform a wide range of administrative, proactivity and self-office support activities in facilitating the efficient operation of the organization, prioritizing and executing tasks in a timely manner way for the Chief Executive Officer, Chief Operations Officer, Chief Financial Officer and the Chief Business Development Officer.

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Assist Executives with day-to-day activities as needed.
  • Maintain the Executive’s calendars.
  • Make and receive phone calls.
  • Prepare itineraries as needed.
  • Anticipate assistance needed by identifying problems, options and solutions before being asked.
  • Perform administrative duties as requested (make travel arrangements, coordinate events, prepare documents, scan/copy).
  • Run errands on behalf of the company (such as picking up food items, etc.)
  • Professionally answer all incoming calls and direct accordingly. Take messages as requested.
  • Perform additional duties and/or projects as assigned by management.

QUALIFICATIONS

  • High School Diploma required.
  • Two years prior experience in an administrative position required.
  • Prior experience as an Executive Assistant or similar role required.
  • Requires excellent computer skills including internet navigation skills and working knowledge of Microsoft Office (including Outlook, MS Word, and MS Excel).
  • Typing/keyboarding skills of minimum 40 WPM.
  • Requires strong attention to detail and ability to accurately produce repetitive work.
  • Bilingual in English and Spanish is strongly preferred.
  • Must have excellent verbal and written communication skills, able to use proper business correspondence to respond clearly and accurately to customer questions and requests.
  • Must be self-motivated, solution-oriented, and have excellent follow-through skills.
  • Must have excellent time management skills, the ability to prioritize work and a self-starter.

  • This position works in an office environment with low to moderate noise levels.
  • Individual sits for long periods of time while operating a keyboard, accessing information utilizing multiple computer monitors, and communicating via telephone.
  • May involve standing/walking as needed primarily on a level surface throughout the day.
  • May include lifting up to 15 pounds on occasion.
