SUMMARY

Full year position, responsible for day to day operations related to ERSEA- Eligibility, Recruitment, Selection, Enrollment and Attendance process for Head Start children.

PRIMARY RESPONSIBILITIES

  • Become knowledgeable about Head Start Performance Standards related to eligibility, recruitment, selection, enrollment and attendance.
  • Manage phone lines on a daily basis.
  • Prioritize incoming intake request forms, manage intake books.
  • Manage incoming online applications.
  • Develop and implement procedure and tracking system for intake completions done by Family Advocates.
  • Meet with families to complete intake packets as needed.
  • Develop and implement effective strategies for ongoing outreach and recruitment of families for Head Start with Family Services Manager.
  • Manage Phone Lines on a rotating basis w/ Family Advocates and Health Specialist.
  • Complete Intakes with families as needed.
  • Participate at Community Fairs for Recruitment purposes. Attends Family Service State meetings and Community Partnership meetings.
  • Network with other area agencies to ensure referrals from them to program.
  • Serve as a resource for families who might need other community services.
  • Assist Family Services Manager with intake review and eligibility determination as needed.
  • Works effectively as a member of a team and interacts with others in a helpful and courteous manner.
  • Works Closely with Family Services Manager, Nurse, Nutritionist, Family Advocates and Home Visitors assuming major role in all health-related matters. Meets regularly with Family Services Manager, Nurse and Nutritionist to monitor progress and identify any issues or concerns with children/families.
  • Reviews all physicals and intakes of children and works to obtain missing health information in order for children to start and /or continue in program. Documented all efforts on contact sheets.
  • Informs Nurse or Nutritionist of any child requiring Asthma or allergy plans and assists in obtaining the plans.
  • Maintains COPA health tracking system • Responsible for ongoing documentation of all health-related information on Contact Sheets and filing newly entered medical information (PE, Dental exam, lab test, etc.) in child's original file in classroom.
  • Assists Nutritionist in height and weight measurements of all children twice during the school year (fall and Spring)
  • Conducts required audio and visual screenings of all children within first 45 days of each child's entry into Head Start Program.
  • Coordinates with Nurse regarding referrals and follow-up for any child who fails audio or visual screenings, or who need dental follow up. Documents all efforts and records these in COPA, as well as contact sheets.
  • Is responsible for completing "head checks" of all children in classrooms following any extended school break (one or more) documenting in each child's original record.
  • Responsible for completing Health and Safety Checklist in each assigned classroom and returning completed form to Area Director.
  • Attend Family Services Advisory Board meetings in November and May.
  • Engage all clients by understanding and addressing their needs whether within or outside the scope of work.
  • Attend & participate in engagement team meetings as requested and communicate effectively with clients and staff in other areas.
  • Maintain confidentiality of client, employee and agency information in accordance with federal and state laws and funder requirements.
  • Ensure compliance with program/department, agency and/or funder requirements, as well as, SMOC policies & procedures.
  • Other duties as assigned.

KNOWLEDGE AND SKILL REQUIREMENTS

  • Related Associates degree or higher preferred.
  • Relevant experience preferred.
  • Preference given to past or present Head Start parents.
  • Bilingual, Spanish and/or Portuguese preferred.
  • Computer experience required.
  • Valid Driver's License, reliable transportation and ability to meet insurance standards.

ORGANIZATIONAL RELATIONSHIP

  • Directly reports to Family Services Manager.
  • Indirectly reports to None

PHYSICAL REQUIREMENTS

  • Physical exam by physician every two years
  • Negative TB screen
  • First Aid Certification
  • Child CPR Certification
  • Must have proof of COVID vaccination
  • Ability to drive

WORKING CONDITIONS

As part of the responsibilities of this position, the ERSEA Coordinator will have direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services. A successful background check is required.
