POSITION SUMMARY:
The Data Entry Specialist provides administrative support to programs including data entry and outcomes recording and reporting, assisting with updating and maintaining student records, filing/maintenance, photocopying and mailroom activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Meets with Education Director regularly to report work progress.
- Enters student information in REI data system, reviews and enters attendance from attendance sheets
- Creates monthly report which includes attendance, demographic data, training services, student count, and other outcomes measures required by the program or the contractor
- Ensures data entry accuracy
- Submits Data Entry Report to supervisor for review and submission
- Submits reports to HCA (health care agency) after supervisors approval
- Sorts, files and maintains student records
- Communicates with REI staff and adjunct faculty regarding correction on attendance sheets and student data
- Maintains proper filing of office records and information as needed, including maintaining master files for all forms, policies and procedures.
- Provides back up support for Receptionist which includes:
Meet and greet students, schedule their appointments with their Academic Advisors, Employment Specialist and/or Success Coaches and keep track of all appointments.
Answers and routes telephone calls to appropriate staff or department.
Assisting new students in completing the enrollment information and any related paperwork.
Schedules student appointments REI staff
Opens, distributes mail, and makes copies of mail and correspondence for office records.
Receives and signs for deliveries from UPS, FedEx, Airborne Express and/or other couriers, and Pacific Clinics interoffice mail
Maintains files of packing slips and invoices for all orders and deliveries
- Works on a multicultural team sensitive to the cultural and linguistic needs of the students served.
- Attends and participates in staff meetings to provide input towards program development and staff training.
- Communicates effectively and promotes favorable interaction with managers, co-workers and others.
- Interacts with other internal programs, clinical/support staff and external sources such as school or community personnel as applicable.
- Models Pacific Clinics’ approach, mission and core values in all communication and correspondence.
- Communicates effectively in a culturally competent and diverse consumer population and promotes favorable interaction with managers, co-workers and others.
- Performs other duties as assigned.
QUALIFICATIONS:

ORGANIZATIONAL RELATIONSHIPS/INTERACTION:
Initiate and maintain professional interactions and communication with Clinic’s employees and/or others.
EDUCATION and/or EXPERIENCE/POSITION REQUIREMENTS:
- High school diploma with some college preferred and two years of data entry or related work experience required.
- Compose and set up correspondence using correct form and grammar.
- Handle multi-line telephone system.
- Bi-lingual in Spanish, Vietnamese, Korean, Farsi, or Arabic preferred.
- Demonstrated ability to work in Windows environment (including Word and Excel).
- Must possess a valid California driver's license and maintain an insurable driving record under the Clinics' liability policy.
PHYSICAL DEMANDS:
While performing the duties of this job the employee is frequently required to stand or sit. The employee is required to use hands to produce records and/or documentation in manual or electronic format. The employee must regularly lift and/or move up to 5 pounds and occasionally move or lift up to 10 pounds.

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and outside weather conditions. The noise level in the work environment is usually moderate. Local business travel is required.
