POSITION SUMMARY



This position is for the Bozeman Sports Park Foundation. This is not a City of Bozeman position and therefore is not subject to City of Bozeman employment policies, wages, benefits, or other terms and conditions of employment with the City of Bozeman.

GENERAL STATEMENT OF DUTIES:

The Director of Operations executes the organization's strategic goals and supervises the daily operations of the Bozeman Sports Park. Overall functions include; managing activities and volunteers, financial operations, and fundraising efforts to support and advance the Bozeman Sports Park projects. This role oversees the maintenance of eight (8) grass fields, two artificial turf fields, a concession building, playground, and other assigned infrastructures at Bronken and Bozeman Sports Parks.

EXAMPLES OF ILLUSTRATIVE WORK:


  • Administration of field rentals in accordance with the current User Agreement
  • Work with User Groups to schedule User Group activities at BSPF managed facilities using the agreed upon scheduling system and direction of the Board to accomplish strategic goals;
  • Keep accurate records of all rental materials; including application, signed User Agreements and required insurance information;
  • Answer telephone, email, and in-person inquiries from the general public about field rentals, etc;
  • Be a point of contact for facility users in case of problems or emergencies
  • Manage accurate invoicing of all field rentals. Issue bills monthly to user groups and track all accounts receivable;
  • Interface with facility users in professional and polite manner;
  • Manage and maintain positive relationships with both current and potential User Groups and Bozeman Parks and Recreation Department staff;
  • Be fiscally responsible in managing expenses as it pertains to field preparation duties;
  • Develop and maintain accurate inventory list, date of purchase and estimated date/cost of replacement for budget purposes;
  • Attend monthly BSPF Board meetings and provide a Director of Operations report;
  • Assist Bannack Group with their fundraising efforts as needed;
  • Develop park improvement plans at both Bronken and BSP. Solicit bids and, with the Board’s approval, contract and oversee implementation;
  • Work with the Board of the Bozeman Sports Parks Foundation on the Strategic Plan;
  • Meet biweekly with Mitch Overton and Thom White to discuss operations etc;
  • Track and analyze revenues and expenditures together with the BSPF Treasurer;
  • Present Budget recommendations to the Board by the October 2022 Board meeting to adopt before calendar/fiscal year end and assist in changing the fee structure if needed.
FIELD AND FACILITY PREPAREDNESS DUTIES:
  • Set up fields for scheduled use, including painting fields, placing and putting away equipment (goals, corner flags, etc.);
  • Rotate fields based on usage and schedule;
  • Inspect facility (including buildings, fields) to determine the need for repairs and renovations;
  • Work with City personnel to maintain artificial turf fields as needed;
  • Manage the upkeep and minor maintenance on BSPF owned equipment (athletic field marking GPS robot, ATV, etc.). Work with City personnel to maintain appearance and cleanliness of facilities (fields, parking lots, concessions, restrooms, etc.), which may include picking up litter and emptying bins, cleanliness of restrooms, etc;
  • Enforce facility rules and communicate delays and cancellations due to weather (other) to User Groups;
  • Manage rental/usage of concessions areas;
  • Share field use schedule with Bozeman Parks and Recreation Department staff to ensure proper irrigation, mowing, fertilization and maintenance schedules;
  • Prepare facilities and equipment for seasonal transition (winterize equipment and materials, dismantle and store nets, install nets, etc.).

REQUIRED SPECIAL QUALIFICATIONS

  • Broad experience in areas of accounting, information management, fund management, communications, and fundraising;
  • Supervisory experience of professional and support staff;
  • Proficiency in reporting and analytics;
  • Excellent written and oral communication skills, and analytical skills;
  • Ability to interpret financial information and manage data;
  • High level of personal and professional integrity in dealing with colleagues and Foundation partners;
  • Excellent interpersonal skills, demonstrated by relating to diverse constituencies;
  • Extensive experience managing, developing, motivating, and mentoring staff and volunteers;
  • Ability to participate in activities and meet personally with stakeholders, as well as, collaborating with board members, and community organization liaisons.
