Job Description Summary
This role assists the Director of the Scholars Program in developing outstanding Wake Forest student Scholars and supporting students in their pursuit of nationally and internationally competitive external awards.

This position will be responsible for supporting applicants to a portfolio of national fellowships and supporting Scholars Office efforts for additional awards. The Assistant Director will work closely with the Director to increase the awareness of scholarship opportunities among the Wake Forest community and help lead the development of effective and efficient models for committee work, student advising and outreach. Competing for and participating in external scholarship programs can be transformational experiences for students, and this position will help students engage in the self-reflection and future visioning that is necessary to take full advantage of such opportunities.

The Assistant Director will also manage and oversee the selection and development of the Mullen/Carswell Scholars (a unique award offered to sophomore, junior, and senior Wake Forest students). They will support student growth through student advising, programming, and intentionally connecting Scholars to suitable opportunities.

This role will be both student and faculty/staff-facing, and applications should come with experience in working on a college campus and with advising students. An ability to build relationships is key, as this position will help expand awareness of developmental opportunities to those who are traditionally underserved by support offices like the Scholars Office.
Job Description
Essential Functions:
Scholar Development and Advising (40%)
  • Along with the Director, meet with Wake Forest students looking for advice in forging their path, including discussion of majors, internships, research opportunities, graduate school, and fellowship programs. Manage timeline, selection criteria, interview process, notifications, and support for Carswell/Mullen Scholarship, an award designed to recognize the talents of sophomores, juniors, and seniors at Wake Forest.
  • Help to design and execute Scholars programming: Contributes to design of events, including the development of marketing and workshops. Works with Director on planning and execution of major events such as, Scholars Dinners, alumni visits and newsletter, and summer enrichment support.
  • Review applications for summer merit grants.
  • Perform renewal/compliance checks for merit scholarship recipients.
  • Reads end-of-year reports from merit scholarship recipients to identify high-impact students for advising.
  • Build links with, makes referrals to, and may serve as a liaison to other university offices and support services.
  • Work with the director on the creation, refinement, and delivery of resources and programming on fellowship application processes.
  • Develop and deliver a design-thinking style workshop for students to craft independent summer research projects.
  • Write letters of recommendation/endorsement in coordination with the Director.
  • Track student progress across student’s career and advise them to develop fellowship candidates.
  • Perform other related duties as assigned.
Fellowship Coaching and Support (35%)
  • Maintain industry knowledge on roughly 15-25 different awards; publicize and support applicants for all awards.
  • Deliver information sessions and application writing workshops and participate on panels with partners.
  • Advise interested students on appropriate opportunities and prepares competitive students to succeed through review of application materials and offering feedback.
  • Collaborate with campus advisors for other national fellowships, including Fulbright, Boren, and Gilman.
  • Provide support for Faculty Directors for Truman, STEM, and Fulbright scholarships, including serving on campus nomination Committees and participating in mock interviews.
Campus Outreach and Communications (10%)
  • Help to create a culture of scholarship on campus by developing and maintaining relationships with relevant staff, faculty, and organizations across the university, identifying points of collaboration tailored to partners’ capabilities.
  • Assist with communications and marketing of program including developing/editing presentations, content for program emails, letters, the website, brochures, flyers, videos, newsletters, etc.
  • Work with Communications and External Relations team to raise awareness of the achievements of Scholars Program students to leadership and across the campus community.
Office Support (10%)
  • Manage use of the Scholars Office funds in support of scholar development with approval of Director of the Scholars Program.
  • Collect data and testimonials from students to better inform institutional support of Scholars community and showcase Scholars experiences. Collects and updates information on major enrichment activities of Scholars. Helps maintain and analyze other data and develop reports as needed.
  • Represent Wake Forest University at conferences and other engagements with external university and professional groups focused on student scholarship. Responsible for increasing visibility and understanding of Scholars Office initiatives across the campus community.
  • Assist Director with strategic planning, budget development, setting yearly assessment goals, and completing end of year assessment reports.
Continual Development of Self and Relevant Knowledge (5%)
  • Participate in professional development through the National Association of Fellowships Advisors and with relevant foundations to stay abreast of best practices in fellowship advising and foundations’ criteria and priorities.
  • Remain up-to-date on current practices by reading literature relevant to field and participating in info sessions and webinars offered on topics of student scholarship and competitive fellowship awards.
Required Education, Knowledge, Skills, Abilities:
  • BA/BS required, Master’s Degree preferred.
  • Academic advising experience, or work with programs involving career planning or student success.
  • Experience working with high-achieving students and with students from diverse backgrounds.
  • Demonstrated knowledge of national/international fellowship programs and graduate school admission processes, either as a former applicant recipient/participant or through previous experience assisting and advising students with applications.
  • Familiarity with selection criteria, trends, successful candidate profiles, and processes for determining fit between candidates and external opportunities.
  • Demonstrated knowledge of and expertise in the field of scholarships and fellowships sufficient to identify best-fit opportunities for students and alumni.
  • Demonstrated ability to use and manage multiple fellowship application platforms.
  • Demonstrates respect for people and their differences; understands the benefits of a diverse workforce; earns the trust and respect of others; includes and welcomes others; works to understand the perspective of others; promotes opportunities to experience diversity within our community.
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Experience collaborating with faculty, university staff, and alumni.
  • Experience managing multiple events/projects at once.
  • Excellent communication skills, both verbal and written.
  • Ability to maintain confidentiality of information.
  • Knowledge of Microsoft Office Suite, including PowerPoint, Word, Excel, WordPress, the Internet and other relevant software.
  • Ability to travel if necessary.
  • Ability to meet requirements of the University's automobile insurance.
Accountabilities:
