Position Summary
The University of the Incarnate Word School of Osteopathic Medicine (UIWSOM) educates aspiring physicians to be justice-minded, global citizens using a community-based, distributed model of education, which fosters inclusion, discovery and innovation. The UIWSOM invites applications for the Assistant Director of Student Affairs.

The Assistant Director of Student Affairs reports directly to the Director of Student Affairs for UIWSOM and provides support within the Office of Student Affairs. The position functions as a student advocate by responding directly to student needs in providing resources to assist them during the course of their education. The Assistant Director of Student Affairs will operate within the UIWSOM framework and will collaborate with appropriate committees and departments to uphold and enhance UIW and SOM policies.

This position is considered a “Responsible Employee” under Title IX federal regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you, as the employee, to promptly report any incident that you witness or receive information about Title IX violations. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Description of Job Duties
  • Participate in the planning and execution of the recurring cycle of academic events such as Student Orientations, White Coat Ceremony, Commencement , Match Day Celebrations, and Award Ceremonies.
  • In collaboration with the Office of Professional Development, identify opportunities to provide workshop activities for UIWSOM students to promote professional development and support mental health initiatives.
  • Monitor and approve general leave of absence requests, student attendance, and satisfactory/unsatisfactory designations.
  • In collaboration with the Director of Student Affairs, provide support to recognized student organizations and interest groups.
  • Ensure student travel is executed in timely manner and that all requests are compliant with UIWSOM and UIWSOM OSA policies.
  • Monitor affiliation agreements for all student-initiated extracurricular engagements.
  • Assist in the preparation and review of the UIWSOM student handbook annually.
  • Serve as a non-voting member of the Conduct Review Board (CRB).
  • Ensure that student records within the OSA are maintained according to all applicable laws and accreditation requirements.
  • Ensure smooth operation of policies and procedures of student grievance and disciplinary procedures.
  • Assist the Director of Student Affairs in developing and managing the department budget.
  • Perform other duties as assigned.

  • Ability to accomplish job duties using various types of office equipment/software.
  • Ability to establish a strong rapport with colleagues, medical and graduate students.
  • Ability to communicate and interact effectively and professionally with faculty, staff and students.
  • Strong interpersonal and conflict resolution skills.
  • Excellent data analysis skills.
  • Must be familiar with state and federal regulations pertaining to management of student records and the maintenance of student rights, privacy, and safety (e.g., FERPA, Americans with Disabilities Act, Title IX, Campus Safety & Security Act, etc).
  • Employee shall adhere to all applicable rules and regulations of UIW and UIWSOM.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education
Bachelor’s degree in student affairs, higher education or other related programs.

Required Work Experience
  • A minimum of 2 years in a higher education office setting.
  • Previous experience working with diverse student populations.

Preferred Qualifications
  • 2-3 years of experience in student affairs in higher education.
  • Prior experience in a school or college of medicine.
  • Master’s degree in student affairs, higher education, or other related programs.

Required Certifications, Licenses or Registrations
Must possess and maintain a valid state issued driver’s license.


Work Hours
Typical Monday through Friday 8:00am to 5:00pm with occasional extended hours/weekends to meet departmental needs and/or needs of the learning community.

Physical Demands
Able to lift and/or move up to 20 pounds.
