Department Summary
Our mission as a department is to produce high-impact research that advances the field of sociology and contributes to public understanding of complex social issues. We train undergraduate and graduate students in the latest sociological theories, methods, and research in preparation for careers in higher education, marketing, social services, government, data science, health care and many other fields.

Position Overview
This position serves as the main office manager in the Sociology department &
assistant to the Department Chair; provides administrative and academic assistance
to faculty, teaching fellows/assistants; processes departmental payroll; monitors, reconciles, and projects department budget expenditure accounts; and supervises one full-time staff member and a student assistant.

Minimum Qualifications
Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

Job Duties

o
Assists the Chair, gathering information to assist with administrative
reports and ensuring that deadlines are met

o
Provides academic/administrative support to faculty and students; keeps faculty
updated on university fiscal, academic policies and procedures.

o
Works with Department Chair to set up course schedule. Updates, monitors, and submits revisions of the course schedule to the Registrar’s office; consults with the Registrar’s Office on discrepancies. Generates reports on course enrollments to assist Chair with decisions about course scheduling, course cancellations, and assignment of teaching assistants. Utilizes EIS to assist students with questions regarding registration. Sets up SPOT evaluations for department courses; pulls SPOT data for various department reporting needs.

o
Constructs spreadsheets in order to monitor departmental accounts and expenditures. Reports departmental budget discrepancies and submits budget reports to the department Chair; processes ABA and requisitions for interdepartmental and campus transfer of funds. Responsible for budget requests and administrative forms regarding academic course fees and OSTF fees, completes reporting necessary regarding utilization of fees.

o
Supervises and approves time sheets for Administrative Specialist and front-desk student worker; provides department-level training when these positions are newly hired, helps coordinate& organize the tasks assigned to them; responsible for the hiring process when these positions are vacated. Tracks employee completion of administrative training required to meet university policy requirements.

o
Utilizes EIS to report departmental sick leave/vacation; processes departmental payroll for faculty, teaching fellows, teaching assistants, and front-desk student workers. Monitors all aspects of payroll to ensure accuracy & to check for errors/discrepancies.

o
Facilitates travel requests for faculty & grad students between department and CLASS Dean’s office; ensures department is aware of proper travel procedures, monitors process to ensure appropriate forms are filled out in advance; maintains chartstring information to ensure travel funds come from appropriate budgets.

o
Shares departmental P-Card holder responsibilities, assists with department credit card purchasing as needed. Enters detailed information and provides documentation for end-of-cycle reporting, serves as reconciler for Admin Specialist’s P-Card expense report. Enters requisitions for purchases unable to be completed with P-Card. Tracks requisitions through the approval cycle until completion. Ensures university policies are followed by obtaining appropriate approvals prior to purchasing.

o
Negotiates department copier lease upon contract expiration, coordinates installation of new devices when necessary; sets up payment requisition annually so monthly invoices get paid; serves as liaison between copier’s owner company and department.

o
Responsible for requesting and maintaining proper levels of access for department employees at various levels, in relation to the department share drive, employee email accounts, and Sociology email inbox. Responsible for setting up and maintaining e-mail groups in Outlook for all sociology
faculty, graduate students, and employed graduate students. Signature authority for key requests to physically access building/department spaces.

Assists with department scholarship awarding; updates award agreements when needed and provides copies to Financial Aid, completes necessary forms so scholarships can be disbursed; maintains department’s Tuition Benefit Program awarding process.
