ADMINISTRATIVE ASSOCIATE DIRECTOR
Job description
The University of Wisconsin-Madison, Wisconsin IceCube Particle Astrophysics Center (WIPAC) Administrative Associate Director will be responsible for managing all aspects of administration for WIPAC including fiscal management, human resources, grants administration, and establishing and maintaining center policies and procedures. The position provides leadership and support to all aspects of WIPAC's financial management activities, including budgeting, payroll, and purchasing; oversees pre- and post-award research administration processes; assists and makes recommendations to the Director and Executive Director on personnel issues; provides input into the development of strategic and long-range planning of WIPAC; and supervises WIPAC's administrative staff.
The WIPAC Administrative Associate Director will be responsible for human resources and pre-award management and provide oversight and leadership for financial, purchasing, travel and payroll personnel, including improving internal processes and serving as a backup to the administrative team. The Associate Director will also be the primary contact with the Office of the Vice Chancellor for Research and Graduate Education and their staff. He or she will develop and administer the center's annual budget, including expenditure forecasting, general accounting, and cost analysis. The Associate Director will manage facility and space allocation and coordinate with other campus partners, including Business Services and the Physical Sciences Laboratory.
WIPAC is a research center in the Office of the Vice Chancellor for Research and Graduate Education. The majority of its funding involves the South Pole IceCube Neutrino Observatory. A collaboration of more than 350 scientists from 58 institutions in 14 countries uses data from IceCube to conduct research and study high-energy neutrinos from cosmic sources. UW-Madison is responsible to the National Science Foundation and the IceCube Collaboration for the management and operation of the observatory, is the lead institution for the IceCube Upgrade project that is in-progress, and is also the lead institution for a group of US institutions with a collaborative grant to analyze IceCube data. WIPAC also has funding to support education and outreach and research in tangential fields, including gamma rays, cosmic rays, and advanced computing. - 10% Engages in strategic planning and policies to ensure the strategic direction supports the needs of stakeholders
- 25% Evaluates, designs, and implements operations to align with the strategic direction
- 15% Establishes goals and priorities for the annual budget for all revenues and expenditures
- 5% Serves as the unit liaison to internal and external stakeholder groups providing organizational information and representing the interests of the unit
- 10% Ensures that policies, procedures, and standards are maintained and develops processes and procedures to improve the unit
- 20% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
- 15% Manages and performs human resources and pre-award research administration activities for WIPAC.

Preferred
Bachelor's Degree
- Minimum of five years of progressively responsible professional research services experience with a record of accomplishments in administrative management in an academic/research environment.
- Excellent organizational and analytical skills, with the ability to manage competing priorities and multiple projects in a dynamic, deadline-driven environment.
- Demonstrated ability to work independently and as part of a collaborative, diverse team.
- Excellent communication skills, both written and verbal.
- Knowledge and experience in budgeting and/or accounting principles and processes.
Preferred:
- Significant federal and non-federal grant administration experience, including pre- and post- award services.
- Supervisory experience.
- Knowledge of and experience with UW-Madison policies and procedures, including those related to research and sponsored programs administration, HR, and business services.
Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
