The Division of Government and Community Relations is seeking a motivated, highly organization individual to enhance the effectiveness of the Vice President of Government and Community Relations and the division by providing consistent, detail-oriented administrative support.

The Administrative Assistant is a key member of the Division of Government and Community Relations and plays an important role in creating a culture of excellence in the division. The Administrative Assistant will meaningfully contribute to the development and success of the division.

Provide general administrative assistance to the Vice President of Government and Community relations, and to other directors within the division, as directed by the Vice President. Manage the calendar of the Vice President. Plan and direct division-sponsored events, retreats, and events. Communicate needed information with members of the division, executive leadership team, and the college at large. Schedule and coordinate regular division meetings, taking minutes and following up on action items. Coordinate and communicate with other administrative assistants across the college on critical events and meetings. Participate in training and stay current on technology needed for the position. Arrange, coordinate, and reconcile travel. Process and approve requisitions and manage and reconcile monthly and year-end budgets. Monitor legislation and key committee meetings as directed by the Vice President during the Utah legislative session. Work closely with the college marketing department of printed materials and presentations and regular updates to the division website. Coordinate office needs. Assist in the development of Requests for Proposals and other solicitations as needed.
Essential Responsibilities and Duties
  • Provide general administrative assistance to the Vice President of Government and Community relations, and to other directors within the division, as directed by the Vice President.
  • Manage the calendar of the Vice President. Plan and direct division-sponsored events, including division retreats, as well as external events sponsored by the division.
  • On behalf of the Vice President, communicate needed information with members of the division, other members of the executive leadership team, and the college at large.
  • Schedule and coordinate regular division meetings, taking minutes and following up on action items from the meetings.
  • Consistently coordinate and communicate with other administrative assistants across the college on critical events and meetings.
  • Participate in training and stay current on electronic systems, software, tools, and technology needed for the position.
  • Arrange, coordinate, and reconcile travel for Vice President and other directors as requested.
  • Process requisitions and invoices.
  • Manage and reconcile monthly and year-end budgets.
  • Manage tracking of legislation and key committee meetings as directed by the Vice President during the Utah legislative session.
  • Work closely with the college marketing department on the production of printed materials and presentations, and regular updates to the division website.
  • Coordinate office needs, including ordering supplies, processing, and approving requisitions, assisting with IT needs.
  • Assist in the development of Requests for Proposals and other solicitations as needed.


Other duties as assigned.

Essential Responsibilities and Duties Continued Minimum Qualifications
  • Associate’s degree or two (2) years postsecondary education (60 completed credit hours).
  • Three (3) years of direct, paid full-time work experience in administrative support or office coordination/management.
Experience may be traded for education on a 2:1 basis.
Preferred Qualifications
Administrative support or office management experience in a large private or non-profit organization, government agency, or institution of higher education.

Experience planning and executing events.
Knowledge, Skills & Abilities
  • Knowledge of general office procedures and practices, and proficiency in basic office software applications, including Microsoft Office and Adobe.
  • Ability to successfully handle multiple projects simultaneously.
  • Strong organizational skills, with attention to detail and accuracy.
  • Ability to work well under pressure to successfully meet timelines and objectives.
  • Tolerance for ambiguity and ability to successfully adapt to change.
  • Ability to listen and carry out written and oral instructions with minimal oversight.
  • Ability to work with and safeguard confidential information.
  • Strong professional communication skills, both written and verbal, with ability to converse and correspond professionally and comfortably with people at all levels and from varied backgrounds, both internally and externally.
  • Ability to travel between SLCC campuses and other locations as needed.
  • Ability to initiate projects and perform duties with minimal oversight.
  • Ability to work well in group settings, demonstrating collaboration, integrity, and trust.
  • Demonstrate a positive, optimistic attitude when completing job duties and interacting with others inside and outside the college.
  • Experience in managing complex organizational budgets.
  • Experience with or ability to make travel arrangements.
  • Ability to successfully plan and execute events.
  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the college.
  • Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
