The USC Dana and David Dornsife College of Letters, Arts and Sciences is seeking an Administrative Assistant II in the Department of Slavic Language and Literatures. The largest and oldest of the USC schools, USC Dornsife functions as the academic core of the university, offering courses and advancing knowledge across the humanities, social sciences and natural sciences.

The department of Slavic Languages and Literatures is the sole home at the University for the study of Russian language, literature, and culture; and, staffing permitting, for the study of Polish language and literature. In addition to the internationally reputed faculty and their research, its primary academic mission centers on its PhD program in Slavic languages and literatures. It serves the undergraduate community at USC by offering a Russian major, a major in Central European Studies (co-administered with POIR), and two minors (Russian and Russian Area Studies).

The administrative assistant assists the department chair in managing the fiscal and curricular activities of the department, overseeing the budget, acting as a liaison with the Dornsife dean’s office to manage personnel and academic processes, scheduling classes, arranging classroom space, etc. In addition, the administrative assistant interacts with the Dornsife graduate dean and the Graduate School to manage processes for students in our PhD program (including, but not limited to, filing forms required for completion of the M.A. degree, qualifying exams, dissertation defense, as well as any petitions that might be needed along the way; overseeing the assignment and disbursal of graduate fellowships or TA salaries; assisting with registration of new graduate students). At the undergraduate level, the administrative assistant provides D clearance as necessary for some of our courses; and advises students about basic curricular processes and requirements (but not academic or intellectual careers – that is the province of the faculty Director of Undergraduate Studies). The administrative assistant also serves as the face of the department in our office in THH 255 – greeting visitors, assistant them with any questions they might have.

Minimum qualifications:

  • Minimum Education: Bachelor's degree. Combined experience/education as substitute for minimum education
  • Minimum Experience: 3 years
  • Minimum Skills: Secretarial or specialized clerical and administrative experience.

Preferred qualifications:

  • At least 4 years of secretarial and administrative experience
  • Ability to navigate USC’s various financial and administrative systems, to carry out the tasks outlined above
  • Ability to interact pleasantly with faculty, graduate students, students, and visitors to the department
  • Knowledge of Russian would be highly desired, but not required

Hourly range: The hourly rate range for this position is $25.48 - $28.39. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
