Essential Duties and Responsibilities : The following duties are illustrative and not exhaustive. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.
  • Performs duties that assist the engineering team and participates directly in the work of the individual(s) supported. Secures details of specialized information, coordinates office work and provides information regarding the services and operation of the unit.

  • Keeps appointment calendars and schedules appointments. Receives customer telephone calls, greets and provides customer service for those who visit the engineering office, and refers customers to other employees or departments. Takes notes and minutes of conferences, meetings and functions as required.

  • Maintains a variety of important files. Prepares new files for new projects and assembles documents for capital improvement projects. Archives files once completed and no longer needed in the main office. Keeps office running smoothly and organizes documents for processing by senior staff.

  • Prepares forms, spreadsheets and composes letters. Sets up and maintains specialized office files. Files letters, reports and related technical information in the prescribed manner. Assembles information for others' use.

  • Types using PC-based word processing software and processes letters, forms, reports, schedules, manuals, booklets, requisitions, purchase orders, payroll and related paperwork. Types information or enters data containing technical terminology into computer. Retrieves data for reports.

  • Performs research and retrieval of records. Assists in the preparation and maintenance of department records. Orders and maintains office supplies.

  • Retrieves, documents and delivers mail. Prepares and ships mail and packages.

  • Assists in the preparation, tracking and routing of commercial/industrial water/sewer applications.

  • Processes and tracks R-O-W use permits issued to citizens and various utilities. Assists engineering staff on engineering project record keeping.

  • Acts as back-up to the Engineering Assistant.

Knowledge, Skills, and Abilities :
  • Knowledge of business English, spelling and punctuation, in order to prepare documents and compose letters, etc.

  • Knowledge of office practices and procedures.
  • Knowledge of mathematics.
  • Ability to maintain the files in a very orderly manner as to make accessibility to important information as easy as possible.
  • Ability to gain knowledge of the unit's policies, procedures and practices.
  • Ability to establish and maintain effective working relationships with employees and the public.
  • Ability to access, input, and retrieve information from a computer.
  • Ability to communicate using speaking, hearing and visual skills.
  • Skills in the operation of a PC, keyboard and typewriter.
  • Skills in note taking and related practices.

Education and Experience :
  • High school graduation or possession of an acceptable equivalency diploma.
  • Two (2) years work experience involving secretarial/clerical duties including the operation of a personal computer.
  • Experience in complex filing and engineering projects preferred but not mandatory.
(A comparable amount of training, education or experience may be substituted for the above minimum qualifications.)
