Description

The Administrative Assistant supports the CGOE department by performing the responsibilities associated with administrative, reception, interpersonal, scheduling, data management, and clerical duties.

  • Support the work of the CGOE team in the West Des Moines office including receiving visitors, incoming calls, handling issues appropriately, and directing messages or referrals.
  • Support the Dean, Campus Director, and Admissions and Recruitment Coordinator by managing calendars, scheduling meetings, and providing clerical support.
  • Use Microsoft Office products to type memos, correspondence, reports and various routine forms from rough draft to final products to support the Dean, Campus Director, and Admissions and Recruitment Coordinator. Organize workload to comply with deadlines and priorities established by supervisor.
  • Assist WDM Campus Director in preparing for classes including distributing and collecting evening attendance rosters. Address student questions and problems and redirect as appropriate. Follow up on absent students plus those who drop out, with WDM Campus Director.
  • Perform start of term duties
  • Support evening faculty and students with some flexible scheduling.
  • Support the WDM campus when hosting meetings and events to reserve spaces, ordering catering and supplies, prepare materials. Set up and clean up rooms before and after meetings and events.
  • Support Dean, Campus Director, and Admissions Coordinator pulling reports and information from the student information system.
  • Work with the Dean to maintain files on adjunct faculty teaching in CGOE programs.
  • Work with the Dean and WDM Campus director to maintain accurate information on all academic programs, handbooks, and other publications.

Qualifications

  • Ability to type and edit routine correspondence, forms, reports, etc. from rough draft.
  • Ability to maintain confidentiality.
  • Strong interpersonal skills
  • Basic analytical skills
  • Ability to pay close attention to detail for work activities.
  • Familiarity with computer software such as, Microsoft Office and other standard office / classroom equipment
