Summary of Position
One of the most critical members of the Company Executive Leadership Team, the Administrative
Assistant coordinates and manages all office procedures and provides vital support for all company programs, activities and events. We are looking for a flexible, highly organized team player who will develop strong working relationships with the entire Oceanside Elite Cleaning staff and customers.
Required Knowledge and Skills:
- Proficiency in Microsoft Office software (Word, Excel, PowerPoint, and Suite)
- Excellent writing and grammatical skills (i.e. for generating and editing memos)
- Ability and willingness to learn new software tools and applications
- Exceptional customer service skills in person, over the phone and virtually
- Positive attitude and flexible in ever-changing environment
- Proficient in Quick Books online
- Ability to work independently
Minimum Qualifications:
- High School Diploma
- At least two (2) years experience
- Valid Driver’s License w/reliable transportation
- Professional maturity and work ethic
- Extremely detail-oriented with strong communication and organizational skills
- Ability to multi-task, work under pressure and meet deadlines
- MUST BE SPANISH BILINGUAL
Duties and Responsibilities:
- Oversee all aspects of general office organization and facilities management
- Provide administrative support to CEO
- Perform clerical duties to include bookkeeping, copying, faxing, mailing and filing.
- Purchase requisitions, facilities/office supplies inventory
- Serve as communication liaison with sub-contractors and customers
- Maintain office calendar to schedule and coordinate work flow, meetings and space usage
- Assist with managing and maintaining organization’s website, newsletters and social media accounts
- Assists in special events, such as fundraising activities and meeting
- Answer telephones provide information and/or transfer to appropriate resource
- Create documents and publications such as invoices, reports, memos, donor letters, presentations, agendas, program brochures, pamphlets, and financial statements
- Conduct research, compile data and prepare papers for consideration and presentation to the CEO
- Attend board/committee meetings or other meetings as requested in order to compile, transcribe and distribute minutes of meetings
- Other duties as assigned by CEO

Pay: $42,000.00 - $50,000.00 per year
