POSITION SUMMARY Our Administrative Assistant is often the first point in our office. Provides administrative support, including but not limited to payroll, billing and scheduling, Supporting other admin team members; entering data into the operating system; answering the phone and relaying calls to the appropriate team member..
REPORTS TO: Administrator
QUALIFICATIONS High school graduate; college degree preferred.
- Minimum of two (2) years experience in a business setting, health care preferred.
- Demonstrated ability to effectively communicate and interact with clients, co-workers, caregivers and all office visitors.
- Ability to fit into a family and team-oriented environment.
- Exceptional organizational skills.
- Attention to detail
- Proficiency with Microsoft Word and Excel are required.
- Ability to perform multiple tasks under strict deadlines.
ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY
- Maintains inventory of office supplies.
- Establishes agency standards and appropriate reorder points.
- Monitors supply needs and assures availability of supplies needed.
- Answers the phone
- Fields and relays call to the appropriate team member
- Assists with the billing process.
- Assists with data entry of schedules for billing and payroll.
- Assists with filling open shifts.
- Enters notes in client charts and caregiver files.
- Assists with the payroll process for Office Manager.
- Assists with auditing flow sheets
- Assists with mileage log
- Works with Office Manager to verify accuracy of payroll data
- Performs job in compliance with agency policies and procedures as well as community and professional standards.
- Accepts responsibility in accordance with the role of the Administrative Assistant.
- Assures compliance with applicable laws.
- Attends meetings and educational programs as required.
- Participates in the Agency quality improvement activities.
- Maintains confidentiality in all aspects of the job.
- Performs Quality Assurance calls for clients and their families as well as caregivers as needed.
- Performs additional duties and responsibilities as deemed necessary
