Position Title: Senior Administrative Assistant
Position Type: Full-time; Non- Exempt

About This Opportunity:
Performs difficult skilled administrative support work providing administrative support to division or department staff, receiving and processing incoming calls and visitors, preparing and maintaining manual and computerized files and records, preparing reports, and related work as apparent or assigned. Work is performed under the limited supervision of the assigned department supervisor.
Essential Functions:
- Receives incoming calls; provides information; forwards calls and directs visitors to appropriate party; assists staff with the completion of standardized records or documents.
- Types a variety of documents including correspondence, forms, reports, purchase orders, requisitions, meeting minutes, agendas and related documents, etc., where a knowledge of format and presentation is necessary; answers routine correspondence independently.
- Makes and maintains schedules; maintains calendars; schedules facility use; handles conference and event registrations and reservations; makes travel arrangements.
- Maintains complex accounting, budget, personnel and payroll records; assists with budget preparation, maintenance and account reconciliation; prepares financial, statistical and project status reports, spreadsheets and work papers.
- Gathers and compiles detailed information for inclusion in special and/or complex reports and documents; prepares reports and documents in accordance with instructions; prepares and disseminates agenda packages.
- Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system.
- Notifies appropriate staff of all public meetings including City Council meetings, work sessions, etc.
- Notarizes documents as needed.
- Receives, sorts, processes and distributes incoming and outgoing mail; assists with large mailings.
- Performs specialized departmental tasks and duties as assigned.
Knowledge, Skills, and Abilities:
- Thorough knowledge of City and department policies and procedures.
- Thorough knowledge of standard office practices, procedures and administrative support techniques.
- Thorough knowledge of business English and spelling.
- Thorough knowledge in the use of standard office equipment and associated software (e.g. Microsoft Office Professional).
- Ability to type accurately at a reasonable rate of speed.
- Ability to follow oral and written instructions.
- Ability to read and understand detailed and complicated policies, procedures and materials that contain specialized words and phrases. Ability to communicate effectively in oral and written form.
- Ability to effectively multi-task; ability to make arithmetic computations.
- Ability to compute rates ratios and percentages.
- Ability to establish and maintain effective working relationships with associates, media, other government agencies and the general public.
Education and Experience
High school diploma or GED and considerable experience in executive level administrative support and office operations, or equivalent combination of education and experience.
