Opportunity at a Glance
The Legal Operations team is seeking a Legal Operations Specialist for our growing team. You will work side by side with our Director of Legal Operations to help create processes and practices to improve the day to day efficiency and effectiveness of the legal team, facilitate change and control costs. This is a generalist role that involves managing and supporting projects across the full range of subject matter supported by the legal team. You must be adaptable and proactive in identifying areas of need and generating action plans. The Legal Operations Specialist will report directly to the Director of Legal Operations.

Responsibilities

  • Update and maintain internal databases
  • Develop organizational processes and frameworks in coordination with Legal Operations Director.
  • Assist Legal Operations Director in Managing and reporting on legal spend analytics, deriving metrics and key performance indicators, benchmarking them against industry data and determining areas of opportunity for value and savings. Create and display metrics for the legal department
  • Assist with budgeting and forecasting process for monthly financial reporting, including providing accrual information to finance, and working with outside counsel to ensure budget information is uploaded in the department’s e-billing system
  • Help to manage the department’s e-billing and matter management system, including, working with the legal team to ensure that invoices are processed timely, and ensuring the data in the system is up-to-date and accurate
  • Be an instrumental part of designing, implementing and launching our Matter Management and Document Management Systems.
  • Assist with projects related to reducing legal costs and improving department efficiencies
  • Provide support on all technology solutions (matter management, electronic billing, etc.), including assistance with vendor selection and RFP processes
  • Administrative tasks such as submission of check requests and wire transfers, preparation of travel and expense reports, and distribution of mail
  • Help design and enforce processes and policies to manage outside counsel usage and spend
  • Collaborate with cross-functional teams including sales, support, service, business development, regulatory, IT, and finance, as well as various business units
  • Performs other duties as assigned
  • Complies with all policies and standards

Qualifications
  • Bachelor's Degree BA or BS Required
  • 4 + yrs experience with 1–2 years of prior experience with legal project operations and management in-house Required and
  • Experience developing forms, processes, and policies Required and
  • Experience with Legal Technology a must Required
  • Ability to move projects forward by gaining support from stakeholders
  • Proven track record of collaborating with cross-functional groups to set objectives and produce results
  • Excellent analytical, problem-solving, and communication skills
  • Support and handle a variety of ad hoc projects within the team as they arise
  • Able to thrive in a fast-paced environment and successfully manage multiple deadlines

Additional Information


In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $47,766.34 and $86,253.75. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
