Day (United States of America) Under the direction of the Director, HRIS, this position is responsible for maintenance of accurate weekly colleague paper files and for the transfer of Reporting to the HR Director at Winchester Hospital, the HR Assistant will provide administrative, reception and project support to the Department to ensure the highest level of service to colleagues and applicants. Additionally, the incumbent cross trains to ensure compliance with new hire requirements, creates ID Badges for new hires, coordinates Service Awards events, processes invoices, and manages the employee files.Job Description:
Essential Duties & Responsibilities including but not limited to:
Provides HR support to Winchester Hospital and is a point of contact for employee questions. Triages incoming calls as appropriate. Greets all guests who enter the department.
Actively participates as a member of the Human Resources team, participating in projects, activities and colleague work assignments. Participates in programs that enhance training, communication, processes and other work flows.
Distributes labor law posters as required. May track work authorizations and I-9s.
Orders supplies and processes invoices.
Creates ID Badges for new hires.
Coordinates Service Awards events in conjunction with HR leadership.
Manages relationships with vendors and venues. Coordinates employee retirement recognition with managers.
Ensures new employee orientation materials and packets are created and delivered to monthly sessions. Sends email reminders for colleagues to attend PROMISE orientation.
Manages employee files. Copies files upon request, and coordinates record retention with off-site storage vendor. Coordinates with Office of General Counsel on subpoenas.
Other Administrative Support
- Cross trains with New Hire Coordinator/HR Assistant to ensure and pre-employment and onboarding processes are complete and requirements are met
- Calculates required HR metrics and presents scorecards, when requested
- Maintains other necessary reports and documents, as assigned
- Provides administrative assistance to others in the Human Resources team, as needed

Participates in and successfully completes Mandatory Education.
Performs all other duties as needed or directed to meet the needs of the department.
Minimum Qualifications:
Education: Bachelors degree or equivalent work experience.
Skills, Knowledge & Abilities: Typing or word processing/PC skills preferably Microsoft Office including Excel, Word, Access and Outlook (email and calendar) and Internet Skills. Communications skills, oral and written, necessary to interact with all organizational levels. Ability to work in an environment requiring strict confidentiality. Demonstrates the ability to be thoroughly trained to meet organizational standards.
Experience: Two years administrative work experience in a Human Resources or related environment.
