Job description
Hours: The normal work week of the Gymnastics Program Supervisor is 1-9pm, Tuesday through Friday and Saturday 8am-4pm. However, due to the nature of the position, the person in this position must be flexible.
Job Purpose:
The Gymnastics Program and Operation Supervisor is responsible for the daily operational functions of the Gymnastics and Recreation Center. Additionally, plans for and implements year-round gymnastic classes, drop in programs and special events.
Essential Functions:
- Plan, develop, implement, evaluate and analyze programs, facilities and services associated with the Revenue Facilities program portfolio, including but not limited to: gymnastics classes, special programs, birthday parties, competitive team, studio room rentals, facilities and services.
- Provide supervision, leadership, and guidance to part-time coaches in the performance of their duties and responsibilities.
- Assist with the recruitment, screening, hiring and training of all GRC facility personnel.
- Instruct and coach team (up to all USAG levels 3-10) and recreational gymnastics programs and activities as needed.
- Prepare and deliver class lesson plans within gymnastics program and related program standards.
- Evaluate, document and communicate participant skill attainment and progress as well as oversee all gymnastics staff during the three written evaluation seasons during the school year.
- Provide supervision, leadership and guidance to part-time coaches in the performance of their duties and responsibilities.
- Enforce program, park and facility rules and regulations and comply with safety standards associated with risk management.
- Responsible for general maintenance/cleanliness of all GRC areas.
- Work effectively with internal and external customers, recognize diverse opinions and needs, and maintain a positive working relationship with all employees.
- Oversee the planning for, set-up and running of all special events.
- Research new program ideas, recommend and implement improvements for existing programs.
- Provide support to other PDOP programmers who schedule the studio rooms for classes.
- Develop and direct in-service training programs for ongoing education and skill development of staff.
- Create and send out program surveys to participants. Seek out customer input and investigates and acts upon request, suggestions, and complaints concerning programs and services.
- Maintains a revenue generation mind-set and continually conducts cost benefit analysis, pricing reviews, program lifecycle audits and leads supervisor staff in using financial systems to meet budgetary and financial goals.
- Assist GRC Manager with annual budget preparation and system input.
- Track monthly budget expenses/revenues.
- Follow established purchasing procedures, procurement card procedures and utilization of the purchase order system.
- Prepare and monitor registration information through the current registration software system and be able to process transfers, refunds and send program information e-mails.
- Manges and implements part-time staff performance evaluations.
- Manage, inventory and order program equipment and supplies.
- Foster partnerships with community public/private sector organizations in support of the Districts mission statement and act as the liaison with different community groups as assigned.
- Conducts productive and routine part-time staff meetings.
Additional Functions:
- Coordinates with the GRC Administrative Assistant and the Communications and Marketing Department in the creation of promotional materials including flyers, banners, artwork for t-shirts, web page updates and seasonal brochure preparation.
- Assist with the coordination and oversight of the inclusion participants with disabilities.
- Participant is required for special projects and events (i.e. Day in our Village, Fall Fest and Frank Lloyd Wright Races).
- Serve on assigned committees upon request (i.e. Safety, Innovation, Customer Service, etc.)
- Spot program participants as they use gymnastics equipment as needed.
- Conducts regular safety inspections of gymnastics equipment.
- Prepare incident and accident reports and follow up reports.
- Assists with monitoring fully stocked first aid supply stations.
- Maintain a complete understanding of Park District emergency action plans and act as a leader in the execution of the plans when required.
- Purchase of staff uniform and equipment, competition team attire/uniforms and special event appeal orders.
Knowledge, Skills, and Work Experience Required:
- Must have experience coaching levels 3-10 USAG competitive team.
- 6+ years of coaching experience under USAG guidelines.
- Experience in supervising staff.
- Proficient in all Microsoft programs.
- Bachelors Degree (4 years.)
- Ability to multi-task workload.
- Oral and written communication skills.
- Organizational and interpersonal skills.
- Planning and problem solving skills.
- Certification in advanced Cardio Pulmonary Resuscitation (CPR), First Aid and Automated External Defibrillator (AED) within 3 months of employment and keep certification current. The District provides this training.
- Customer service focused.
- Programming experience in a recreational setting.
- Knowledge of safety and risk management.
- USAG Professional Member.
- USAG Safety Certified.
- Safe Sport Certified.
Recommended:
- Gymnastics accreditation courses for business, preschool, girls and boys recreational/team and sports science through USAG University.
Work Environment, Physical Demands and Considerations:
- Frequent- standing, climbing, balancing, stooping, kneeling, crawling, running and walking.
- Occasional- sitting and typing.
- Strength- requires handling heavy weight (up to 100 lbs.), people, materials or equipment.
- Other requirements include talking, hearing, and seeing to perform the following necessary duties: Teaching programs and supervising students, operating office equipment including but not limited to computers, printers, copiers, fax and telephones.
- Normal gym conditions for majority of work, may include occasional light and temperature variations.
- Exposure to noise, dust, gymnastics chalk and elevation.
- May include prolonged hours of computer use.
- May be exposed to occasional inclement weather as position may require outdoor work.
- Ability to present ideas and recommendations in a concise verbal and written manner.
- Ability to understand and carry out verbal and/or written instructions efficiently and effectively.
- Ability to use independent judgment and initiative to respond to unexpected or unplanned events or demands.
- Ability to interpret early warning signals and communicates information.
- Ability to involve others through informal networking and involve others in decision making.
- Ability to speak effectively to the public.
- Ability to use math skills when measuring, calculating and estimating.
- Ability to interpret and explain Department and Park District of Oak Park policies and procedures.
- Ability to follow directions and work with limited supervision.
