The Clinical Operations Administrator ensures strategic, effective, and compliant operations through the overall administrative management and coordination of various business-related functions including finance, budget, project management, space and facilities planning. The incumbent is responsible for supervising and coordinating business operations to ensure practice efficiencies through cost effective standardization of policies and procedures. This oversees billing and collections, expenses, compliance, human resources, strategic initiatives, and other areas as assigned by the Chief, Clinical Operations.

  • Supervises direct reports to ensure efficient daily operations .
  • Serves as the liaison between UPG and all RPC practices for purchasing/accounts payable processes.
  • Monitors operations, programs, policies and physical properties to ensure regulatory compliance including but not limited to employment, HIPAA, medical coding and reimbursement, financial control systems and material procurement.
  • Establishes and implements office controls, financial data entry and purchasing/accounts payable processes.
  • Establishes purchasing procurement and inventory control systems.
  • Ensures compliance with UPG policies and recordkeeping procedures.
  • Interfaces with vendors to ensure efficient relationships to support clinical practice needs.
  • Works with Chief, Clinical Operations and physicians to develop, recommend and update strategic plans to support the clinical practice’s philosophy and goals.
  • Implements strategic plans in partnership with the Chief, Clinical Operations to support goals and objectives e stablished by the Medical Director and the Chief, Clinical Operations.
  • Assists Chief, Clinical Operations with the financial management in preparing budgets and ensures CPG operations and relations are effective. Aids in the planning and fiscal management of cost centers.
  • Monitors and analyzes physician productivity and financials trends to report to Chief, Clinical Operations.
  • Supervises completion of calculation and reconciliation for all physician compensation plans with prepayment consideration and monthly accrual of expenses.
  • Analyzes and distributes physician productivity and statistical reports for review by leadership.
  • Participates in professional development activities to keep current with health care trends and practices.
  • Completes and manages other special projects as assigned.
  • In addition to the above job responsibilities, other duties may be assigned.
  • Plan departmental budget needs by analyzing short- and long-term program plans. Has authority to implement expenditure and revenue plan and authorize deviations from them under the general direction of the Chief, Clinical Operations.
  • Maintain interface with departmental personnel to coordinate operational activities to ensure adequate staffing and space and facilities.
  • Coordinate the compilation and preparation of operational and financial reports and analyses that summarize progress, challenges and appropriate recommendations.
  • Participate in the establishment of short- and long-range business goals which support the mission for the department or office and implements.
  • On behalf of the unit executive, liaise with all levels of administration, faculty and external constituents to coordinate departmental business, accomplish goals and facilitate the resolution of problems in a large and complex organization.

MINIMUM REQUIREMENTS

Education: Bachelor’s degree

Experience: Minimum of 3-5 years’ experience in physician practice management, with at least 2 years ’ experience directly involved in billing & collections, accounting, data analysis, and/or productivity aspects. Demonstrated ability to interact with physicians as well as clinic staff. Thorough understanding of the financial aspects of physician practice management. Demonstrated experience in a primary care medical environment.

Licensure: None

Skills: Intermediate-level word processing and spreadsheet skills. Demonstrated knowledge of financial accounting systems.

PHYSICAL DEMANDS This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
