We are looking for someone who understands and is familiar with 24/7 EMERGENCY SERVICES. Someone who has a sense of urgency and can work in a fast-paced environment. This person must be flexible and be able to support various divisions at any given time with or without notice. Must be able to effectively time manage their desk on their own so deadlines or meeting deadlines are never missed. This position requires an individual who can work independently and has initiative. We need someone with strong communication skills and who is not afraid to ask for help.

Seattle Administrative Assistant Job Description

  • Provide administrative assistance to Regional Manager, Office Coordinator, and Project Estimator/Management team. (Such as shipping/receiving, scheduling fleet repairs, scheduling flights, hotels, office errands and coordinating office celebrations)
  • Assist with onboarding new Employees, to include creation of EE folder (new Hire Docs) and equipment set up.
  • Assist with Emergency Service dispatch. (Operations manager, coordinating with crew/client)
  • Answering and directing incoming calls (Office line, Forward or take message accordingly)
  • Set up New lead intakes (Screen and Qualify) Program and LINC Assignments, To include Assigning Project Directors and Project manager to all leads (Verifying with General manager)
  • Accept and set up Contractor Connection Assignments (Program repairs only)
  • Schedule carpet services with client's and team (Via phone, email, and NetSuite)
  • Scanning and managing electronic documents/files on daily basis (Daily crew Sheets)
  • Complete payroll on a weekly basis (Sea/Port) creates new timecards for team for upcoming week on Friday.
  • Assist General manager with uniform orders, on a quarterly basis.
  • Perform other duties as assigned.

Requirements and Qualifications

  • Proficient in MS Office (Word and Excel)
  • 2+ years’ experience in an administrative support role or receptionist role
  • Customer service experience
  • Data entry to complete final service paperwork for mitigation team.
  • Verbal and written communication skills to interact clearly with customers, vendors, and other employees.
  • Organizational and time management skills
  • Ability to work in a fast-paced environment.
  • Quick-study and technology savvy • Industry/Restoration/Construction experience is a plus.
  • **Bilingual (English/Spanish) a plus***
