Title: Event Assistant and Office Management
Part-time position
Must be available on weekdays and weekends
Hours:
Tuesday 10am-4pm
Wednesday 10am-4pm
Thursday 10am-4pm
Occasional weekends for events
Job Purpose: Maintain the home office to function seamlessly and support the owner, while also maintaining relationships and face time with Clients. Follow through of event coordination from inception to completion.
Responsibilities:
Work in synchronicity with the owner on coordinating all events.
Provide seamless communication from admin to clients on facilitating events.
Create proposals, maintain emails, write up contracts and terms and conditions for each new event.
Organize & schedule client meetings, transport, and site visits and logistics.
Organize office, maintain all binders, create budget spreadsheets, keeping track of guest RSVP’s, update Aisle Planner, create diagrams and timelines. This is a very detail-oriented job.
Creative assistance and design selections.
Check and sign off invoices with vendors and clients.
Create and implement systems and task lists for each event projects.
Create induction packs for new starters and interns.
Anticipate the needs of various teams and the company as a whole while providing a high level of support. This can materialize in various ways including errands, admin assistance, and hands-on projects, etc.
Always be focused on betterment.
About You:
Highly motivated, organized, and able to work effectively with minimal supervision.
Ability to prioritize and react with appropriate levels of urgency to multiple situations, requests and events that require quick response or turnaround.
Fine-tuned communication and presentation skills (telephone, written and face-to-face).
Ability to handle administrative details independently, while keeping team members adequately informed.
Extremely well organized and good at managing your time.
Strong visual eye that fits naturally with the Nina Moore aesthetic.
A demonstrated ability to respond effectively to changing workloads and priorities.
Ability to listen to constructive feedback and adjust as appropriate.
