The Operational Services Division (OSD) is a progressive, results-driven agency of the Commonwealth of Massachusetts within the Executive Office for Administration and Finance. OSD is comprised of several units: Strategic Sourcing Services, Office of Vehicle Management (OVM), Performance Analytics, Human Resources, Finance, Legal, Marketing, and Training, among others. OSD uses modern goal-setting techniques such as The 4 Disciplines of Execution and Agile project management to promote cross-boundary collaboration within the agency.

The Office of Vehicle Management (OVM), oversees the Commonwealth’s Executive Branch fleet vehicles used by authorized Executive Department personnel while conducting state business. OVM is seeking a qualified candidate to fill the Vehicle and Equipment Coordinator position. The ideal candidate is interested in working for state government and being part of a fast-paced, goal-oriented organization.
The Vehicle and Equipment Coordinator (VEC) will be responsible for the oversight of the OVM field office and the vehicle lot in Westborough, MA. This position is primarily responsible for the inspection and receipt of new vehicles, redeployed vehicles, and vehicles to be auctioned, along with the necessary documentation of those assets. This position collaborates with Agency Fleet Managers to assist them with the efficient deployment or retirement of State assets.
The Vehicle and Equipment Coordinator carries a specific skill set that requires experience in the automotive repair/service sector. This is evident in the Vehicle and Equipment Coordinator’s ability to determine when a vehicle is eligible for redeployment as well as recommend when a vehicle should be dead-lined and sold at auction. The ability to identify and make these types of recommendations is critical to the success of the OVM Managed Vehicle Program ensuring best value for the Commonwealth.
The Vehicle and Equipment Coordinator Primary Job Duties:
- Inspect and accept all new vehicles purchased by OVM and other agencies
- Receive all new vehicles at the OVM Westborough Vehicle Lot
- Maintain Battery Electric Vehicle inventory
- Timely update Fleet Management Software with new vehicle deliveries
- Timely notification of all OVM or Agency new vehicle deliveries to OVM team
- Maintain accurate Westborough vehicle inventory
- Manage vehicle deployment and vehicles taken out of service
- Coordinate, inspect and revaluate all turn-in vehicles
- Perform minor repairs as necessary
- Make vehicles available for interested agencies to evaluate and coordinate redeployment as needed
- Ensure all deployed vehicles have required items (decals, fuel card, telematics, and other requirements) before being released to an Agency
- Facilitate telematics installations & deactivations
- Coordinate auction activities with Surplus Property Coordinator and Auctioneer
- Stage all vehicles in preparation for auction
- Notify Telematics team to ensure device is removed or disabled prior to sale
- Remove all decals, plates, equipment, and any external markings
- Maintain the grounds and equipment
- Perform seasonal ground maintenance as necessary, such as mowing and plowing
- Relocate disabled vehicles using provided heavy equipment
- Perform minor repairs on grounds equipment as necessary
Preferred Qualifications:
- Class C Hoisters License
- Class B driver’s license (CDL) and/or certification to operate heavy equipment
- Knowledge & experience in automotive vehicle mechanical repair principles and best practices
- Knowledge and ability to operate heavy equipment
- Ability to understand, explain, and apply all OVM policies and procedures
- Ability to maintain accurate records
- Ability to self-manage
- Experience working with software programs including but not limited to Microsoft Office suite
- Exceptional customer service skills
- Strong organizational skills
- Ability to communicate effectively across all verticals and agencies
- Demonstrated analytical, problem-solving, and decision-making skills
- Ability to communicate effectively orally and in writing
SPECIAL REQUIREMENTS:
Some physical activity is required. Ability to stand for a prolonged period of time. Ability to lift and carry items weighing 25-50 pounds.
Applicants must have a current and valid Class D Motor Vehicle Operator’s license and an acceptable driver history supported by documentation from the Registry of Motor Vehicles or comparable agency in another state.
