Summary of Position:

- Assist with the completion of schedules for the month-end and year-end closing processes.
- Assist Accounting Manager with the annual independent financial audit.
- Completion of invoices for cost reimbursement programs.
- Recording of monthly Journals into accounting software.
- Record bank deposits into accounting software.
- Perform general account analysis and reconciliations, including bank statements fixed assets, employer’s benefits costs, accruals, and prepaid expenses.
- Review and process Credit Card expense reports and receipts submitted by cardholders on a monthly basis.
- Perform the processing of fixed asset depreciation and recording of adjusting and reclassification journal entries if necessary.
- Ensure compliance with reporting requirements for payments over $600. Obtain W-9 forms from vendors and issue Form1099’s at year-end.
- Manage payroll process that includes importing, proofing, editing, processing, and transmitting all payroll wages and tips, deductions, reimbursements, bonuses, commissions, and manual payments consistent with federal and state wage and hour laws.
- Perform updates to payroll-related information and data and manage overall payroll workflow.
- Process and monitor garnishment orders and other issues that impact payroll specifications.
- Maintain and document all payroll records.
- Analyze and audit payroll data for accuracy of posting, including intercompany transactions.
- Keep track of hourly rates, wages, compensation benefit rates, new hire information, etc.
- Address issues and questions regarding payroll from employees and superiors.
- Prepare reports for upper management, finance department, etc.
- Prepare and execute pay orders through an electronic system or distribute paychecks.
- Process taxes and payment of employee benefits.
- Reconcile the general ledger regarding payroll transactions.
- Detect and process issues with uncollected payroll.
- Provide excellent customer service to employees: in the areas of compensation, taxes, how to clock in/out, and how to request time off.
- Process 401K, HSA, and garnishment payments.
- Educate managers and employees on Payroll policy, process, and practice to ensure effective execution.
- Maintain a system for identifying all fixed asset purchases and recording them by department/by location. This detailed record should be updated monthly and reconciled to General Ledger.
- On an annual basis, coordinate the physical count of all fixed assets of the organization and reconcile them to the accounting record.
- Generally Accepted Accounting and Auditing Principles and their application to a variety of accounting transactions and problems.
- Principles and practices of budget preparation and administration.
- Applicable Federal, State, and Local laws, codes, and regulations.
- Automated financial management system characteristics and applications.
- Modern office equipment, practices, and procedures.
- Federal Rules & Regulations regarding grants including Circular 133 and A-110 cost principals.
- Solid understanding of accounting fundamentals and payroll best practices.
- Proven experience as a payroll specialist or payroll manager.
- Strong knowledge of payroll software such as ADP, Paychex, and Paycom applications.
- Communicate clearly and concisely, both orally and in writing.
- Use computer keyboards for extended periods of time.
- Establish and maintain effective working relationships.
- Analyze and interpret financial and accounting records.
- Interpret and apply complex Federal, State, and Local policies, procedures, laws, and regulations.
- Operate a PC and related software programs.
- BA/S in business, accounting, or relevant field is mandatory (or equivalent years of experience).
- Four (4) years of increasingly responsible professional-level accounting experience, preferably non-profit.
- Three (3) years of payroll processing (Required).
- Working in a Medical Practice is a plus.
- Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to effectively present information and respond to questions from groups of managers, clients, and customers.
- Attention to detail; strong organizational and interpersonal skills.
- Ability to work and apply concepts such as percentages, ratios, and proportions to practical situations.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Word, Outlook, Excel (Pivot Tables), Business Objects, QuickBooks, Sage and ADP WorkForce Now.
- While performing the duties of this job, the employee may be required to drive to all ChapCare facilities as needed.
- The ability to sit for extended periods of time.
- The employee must occasionally lift and/or move up to 25 pounds.
