POSITION SUMMARY: Reporting to the Chief Operating Officer, the Special Projects & Operations Manager collaborates with numerous department/division leads and outside firms/contractors to manage select capital project work, business operations initiatives, and information technology (IT) functions for the Heritage Foundation and its divisions, the Downtown Franklin Association, The Franklin Theatre, the History & Culture Center (in development), and Franklin Grove Estate & Gardens (in development).

Example projects/tasks include conducting internal needs assessments for new software systems; researching new software platforms that meet the needs of the organization; setting up and implementing new software platforms; establishing standard file naming conventions/structure and organizing data within file storage/sharing systems; seeking estimates for new facility assets and equipment; creating standard operating procedures documentation; planning various one-off events or programs; etc.

ESSENTIAL RESPONSIBILITIES: To perform this job, an individual must perform each essential function satisfactorily with or without a reasonable accommodation.

  • Work with various consultants and contractors to develop strategies, project plans, and scopes-of-work for various capital projects.
  • Brainstorm, develop, execute, and report on existing and new/unplanned projects that span the COO’s portfolio.
  • Manage project timelines, deliverables, and budgets for efficiency and effectiveness.
  • Collaborate with CFO/facilities and department/division leads on future equipment and asset planning, budgeting, etc.
  • Strategically direct the efforts of the contract IT firm, including future-planning infrastructure, software systems, information security, etc.
  • Research, seek, and implement key business software platforms.
  • In collaboration with various department/division leads, manage the development and maintenance of standard operating procedures for the organization and its divisions.
  • Manage the work of several outside firms and contractors including but not limited to those for IT, various software platforms, architecture, engineering, construction, museum development, exhibit production, etc.
  • Prepare materials, presentations, and other key communications to support the COO.
  • Perform various administrative tasks on behalf of the COO, such as credit card expense reports, scheduling meetings, etc.
  • Alongside all full-time staff, act as day-of event staff for various weekend and evening events such as street festivals, key fundraising events, etc.
  • Perform other duties as assigned.

Education and/or Experience: Bachelor’s degree required. 3 – 5 years of relevant experience. Project management, business management, or construction management experience preferred.

Other Qualifications:

  • High reasoning ability and emotional intelligence; critical thinker.
  • Strong ability to interpret complex information and clearly communicate messages simply to others.
  • Very strong Microsoft Office skills (Word, Excel, PowerPoint). Design skills such as Canva, highly desired.
  • Ability to understand business financials and analyze various budgets, estimates, etc.
  • Experience with creating and managing Gantt charts and other project management tools.
  • Ability to strategize and problem solve complex challenges.
  • Excellent verbal, analytical, organizational, and written skills.
  • Ability to act as a brand ambassador of the Heritage Foundation and its divisions.
  • Interface and communicate effectively with colleagues at all levels and ability to thrive in highly collaborative and mission-driven culture.

Since 1967, the Heritage Foundation of Williamson County has been dedicated to preserving Williamson County’s architectural, geographic, and cultural heritage as well as promoting the ongoing revitalization of downtown Franklin in the context of historic preservation. Notable projects include The Franklin Theatre, Roper’s Knob, parts of the Franklin battlefield and the Old, Old Jail. The Foundation brings county history to about 3,000 school children each year through the Heritage Classroom program as well as walking tours of downtown Franklin. Events and festivals produced by the Heritage Foundation such as Main Street Festival, the Heritage Ball, Pumpkinfest and Dickens of a Christmas bring hundreds of thousands of locals and visitors to downtown Franklin each year. Pay: Up to $55,000.00 per year
