Job Title: Mechanic Shop Coordinator

Reports to the General Manager, ensures that fast and friendly service is provided to Fleet Lease and Repo customers in support of growth of the customer base. Monitor all Fleet Lease and Repo accounts and work with others to ensure compliance with sale plan layouts, company requirements and other directives. Ensure the use of marketing tools on selected customer accounts as instructed. Assist in the processing and monitoring of all Fleet Lease and Repo related charges, various sales and auction fees. Help retain existing customers to enhance volume of auction sales. Help develop and implement new sales programs and revise existing programs to enhance customer participation in accordance with company guidelines. Perform all other duties as assigned by the General Manager.

Responsibilities:

  • Provide prompt and courteous service via email, phone and/or in person.
  • Demonstrate friendliness and proper phone etiquette with every customer.
  • Maintain a professional appearance.
  • Make sure customers receive prompt, efficient and courteous attention.
  • Work closely with the Fleet Lease Coordinator to ensure all vehicle work orders are being handled in a timely manner understanding timely and accurate communication of vehicle issues and repair costs with customers is key to customer service.
  • Assist in following up with CR Writers to ensure CR's are timely and accurately updated immediately after repairs are completed, charges are posted and work orders are closed.
  • Update announcements prior to sale day including, but not limited to, deleting unnecessary announcements and adding Green Light Drive, Drivetrain Guarantee, As-Is etc. plus any associated required fees for post sale inspections and sale day checks. Assist in badging Silver Cert vehicles as necessary.
  • Help resolve any customer complaints in a friendly, courteous manner. Advise the Fleet Lease Supervisor of all serious complaints or incidences.
  • Assist the Fleet Lease Coordinator in the setting of all fleet lease lanes for the sale.
  • Ensure proper follow-through on all directives, bulletins, schedules and accounting from the Fleet Lease Coordinator. Maintain a good flow of communication with Fleet Lease Coordinator and office personnel.
  • Coordinate ordering of supplies and forms as necessary with the Office Manager.
  • Assist with proper record keeping and follow-through on all sales promotions, advertising and telemarketing.
  • Recommend new customer services and procedures to the Fleet Lease Coordinator.
  • Monitor all Fleet Lease Accounts and work with other employees to ensure compliance with sale plan layouts, company requirements and other directives. Advise and assist with corrective procedures, if needed. Ensure the use of marketing tools on selected customer accounts as instructed.
  • Monitor and ensure compliance with all customer contracts and supplier agreements.

Qualifications:

High School diploma or GED with at least 1 year of experience in sales or marketing in a customer service driven position. Previous clerical experience is necessary. Previous auction experience preferred. High level of proficiency in typing, communication and email correspondence is required. Must be proficient in Microsoft Office, Word, Excel and possess competent computer skills. The ability to speak both Spanish and English is necessary.

Must be qualified to operate a motor vehicle and possess a valid driver’s license.
