We're looking for a Secretary Senior to join our team to provide administrative support, working toward the common goal of eliminating child and youth outcome disparities based on race and ethnicity. The Opportunity:
This position performs a wide variety of complex secretarial duties for the Licensing Division staff and supervisors. This position performs detailed secretarial duties with minimum supervision, such as independently planning, organizing, and prioritizing work to meet internal and external deadlines. This position maintains filing systems, databases, and tracking logs and processes/monitors public disclosure requests. Additionally, this position answers the main telephone and acts as a receptionist to the clients and community members who enter the office.
Some of what you will do:
- Schedule meetings, prioritize assigned correspondence, and types reports.
- Process all incoming applications for all Child Care Centers, School Age Programs, and Family Child Care Homes.
- Input application information into FamLink/WA Compass and create/update the licensing file.
- Answer questions from potential applicants/providers.
- Initiate and complete all cyclical work for Child Care Centers, School Age Programs, and Family Child Care Homes.
- Notify providers of declarations and licensing fees due.
- Receive, record, process, and transmit licensing fees to the State Office of Financial Management (OFM) for Family Child Care Homes, Child Care Centers, and School Age Programs.
- Send receipts for fee payments to providers.
- Update fee payment information in FamLink/WA Compass.
- Complete the Provider File Action Request.
- Notify Child Care Aware, SSPS staff of any home, center, or school age program closures or change in provider status.
- Create and maintain licensing information for all licensed Family Child Care Homes, Child Care Centers, and School Age Programs in FamLink/WA Compass.
- Office Support and reception.
- Manage office motor pool.
High School graduation or GED AND two years of office experience performing duties that required keyboarding or typing typically at a net speed of 50 words per minute or faster.
In addition to those required qualifications, our ideal applicant will also have some or all of the following:
- Previously demonstrated experience working independently and prioritizing work duties.
- Previously demonstrated intermediate/advanced level of computer literacy in Microsoft Office.
- Previously demonstrated ability to learn and effectively use other software or database programs.
- Previously demonstrated experience communicating verbally and in writing with customers, community partners, staff, and the public.
- Previously demonstrated experience working in a high-stress environment.
- Demonstrate strong organizational and time management skills.
