Summary/Objective
Safety Assistant (2-Year Term) is to assist Human Resources Professionals with daily operations and special projects.
Essential Job Duties
Safety Assistant- 2 Year Term
- Schedule trainings, meeting, conference calls and presentations, prepare materials, electronic forms and instructional guides, secure facilities and supplies, room set- up, and invites/notify required participants.
- Maintain accurate and confidential files for current employees, based on company, local, state and federal guidelines and respond to inquiries.
- Communicate with and respond to questions and inquiries related to Human Resources functions from employees, managers, supervisors, external vendors, etc.
- Investigate and follow-up o accidents, injuries, discrepancies per established procedures.
- Perform periodic policy audits to ensure up-to-date information is proceed and obtain approval for policy changes.
- Prepare and finalize reports that present findings and recommendations on regular human resources related functions for Director's Office, General Counsel, And Accident Review Committee (ARC).
- Daily discussions with management and employees regarding Worker's Compensation claim, benefits, and processes.
- Maintain and update the Safety Accident Reporting database to include Safety Awards and processes reports.
- Work directly as a subject matter expert and tester when updating and developing new reporting database system updates and improvements.
- Work with Office of Administration (CARO and Risk Management) in processing worker's compensation claims.
- Serve as an administrator and liaison in the Learning Management System (LMS) - setting up in-person, e-learning, and virtual courses with Instructors/Data Stewards and specialized functions by working with HRIS Coordinator for Vendor Modifications.
- Coordinate LMS software updates and assist with LMS updates.
- Serve as Administrator for the HR Safety SharePoint Site.
- Serves as an alternate instructor for New Employee Orientation, Driver's Training, and Polices/Procedures courses.
Ancillary Job Duties
- Order service and/or other awards, snacks and supplies for team parties and other events.
- Set Up classroom for trainings.
- Maintain office supply inventory and make purchases.
- Other duties, as assigned.
Education and Experience
- High school diploma or equivalent.
- At least three (3) years of experience in general office support work.
Knowledge, Skills and Abilities
- Knowledge of basic accounting skills.
- Ability to type 40 words per minute and be proficient in other types of office equipment.
- Ability to carry out complex oral and written directions.
- Good organizational skills.
- Excellent communication skills, including telephone skills.
- Ability to work with frequent interruptions in a fast-paced office.
- Ability to perform and prioritize multiple assignments.
- Ability to establish and maintain an effective working relationship with Department staff and the general public.
- Ability to demonstrate good work habits including being dependable and efficient and meeting deadlines.
Additional Preferred Knowledge, Skills and Abilities.
- Familiar with the workers compensation process and working with 3rd party WC coordinator.
- Knows advanced LMS systems (custom reporting, program design, etc.)
- Advanced knowledge of building data bases using Microsoft Access or similar.
- Understanding of basic safety chart design and function, basic safety statistics.
- Understanding of basic safety reports such as: accident investigation, employee training log, witness statements.
- Familiar with HIPPA.
- Familiar with basic OSHA standards.
- Familiar with SharePoint.
Work Environment
- Work is typically performed in a standard office environment.
Physical Abilities
- Remain in a stationary position 70% or more of the time.
- Constantly operate a computer and other office productivity machinery.
- Frequently communicate and exchange accurate information.
- Clarity of vision at 20 inches or less.
- Regularly lift up to 5 pounds, correctly lift up to 10 pounds.
- Concentrated attention is required at all times.
- Regular attendance is a necessary and essential function.

Exemption Status/Special Notes
This position has been determined to be Nonexempt according to the Fair Labor Standards Act. Employees must agree to accept compensatory time in lieu of cash payments in accordance with the Department's Compensatory Time Off and Overtime Policy.
